Job Description
We are an established swimming pool service provider for the Eastern Long Island area seeking a professional and seasoned Call Taker/Dispatcher/Customer Service Representative to join our team. In this key role, you will handle all phone calls on a multi-line phone system communicate with customers to identify their needs, schedule and dispatch service calls, and related service department administrative tasks while providing the highest level of Customer Service. You are an efficient, utterly reliable, detail-oriented multitasker who is self-motivated, energetic, respectful and courteous to all customers and employees in a fast paced environment. Candidates must be familiar with the map of Eastern Long Island and must have prior experience working as a dispatcher or Customer Service Representative. This position works directly with the company owner and the highest level of competency and confidentiality is required.
Responsibilities:
- Answer multi-line phone system.
-Schedule service calls and routing of technicians daily based on experience/skills for job scheduled. Follow-up on on-going jobs. Confirm jobs with customer prior to dispatch.
-Manage daily routing and real-time gps tracking of each technicians vehicle and progress.
-Manage the scheduling/dispatching of annual service contracts.
-Direct non-service related calls to other appropriate departments.
-Efficiently manage an ever changing schedule to accommodate rescheduling, cancellations, special requests etc.
-Handling customer complaints professionally and with empathy.
-Provide exceptional Customer Service to clients via phone, email, and in-person interactions
- Enter and maintain accurate customer data in the company database
- Collaborate with internal teams to ensure timely and accurate service requests.
- Utilize GPS system and tablet management systems to optimize routes and improve efficiency
-Administrative tasks: Manage Scanning and Electronic filing of documents, managing office supplies.
-Process invoice and payments for Service calls.
-Manage the Customer Service online mailbox.
-Follow up with delinquent service accounts.
-Handle propriety information confidentiality.
Experience Required: (RESUME with Salary History is REQUIRED to apply)
- Previous experience in a Customer Service or dispatcher role is REQUIRED.
- Must have computer skills and proficiency with Quickbooks, Microsoft Office Suite Programs
- Data Entry Accuracy and skill is required.
-Ability to work under pressure
- Knowledge of map of Suffolk County and Eastern Long Island
- Strong phone etiquette skills with the ability to handle high call volumes with a pleasant voice and outgoing personality,
- Experience in fleet management or GPS tracking system
-Ability to work 6 days a week (4 week days and BOTH weekend days) and long week days hours during the summer months of May thru September. This is a YEAR round salaried position with paid vacation time during the slower season. Absolute reliability is a MUST during the summer months.
