RESPONSIBILITIES OF ALL DISPATCHERS
COMMUNICATION
- The main point of contact for subs, customers, drivers and pullers; responsible for clear
communication between all parties involved
- Confirm all trucks ordered are on-site and managing trucks throughout day/night
- Check in with all Monzon trucks and Pullers Dispatched out at least 60 min
before start
- Check in with load counter at least 30 mins prior to shift and confirm how many
trucks onsite, and follow up with missing trucks
- Check in on ALL jobs that don’t have load counters
- Check in with subs first, then confirm with onsite contact to verify and
relay status
- If any shortages/lates dispatchers have to stay in communication
with customer until issue is resolved/finalized (arrives, substituted,
or short)
- Confirm customer satisfaction and job completion
- Emails
- Check email at least 3x’s per day and acknowledge all emails, with a solution or
expected solution/completion time
- Solutions/completion time within 24hrs
- Work order emails should be acknowledged immediately
DISPATCH ENTRIES
- Thorough daily dispatch review, including:
- Customer
- Truck Type(s)
- Driver/Puller/Sub Listed
- Bill at Rate, Pay at Rate, Dump Fees, Spread
- Description of Job
- Billing descriptions
- PO/Job #
- Requested by/Purchaser
- All columns filled out
- Verified & update by next day at 11 AM
- Changes: dumps, rates
- Shortages, add-ons
- Dispatched trucks must be fully entered into the log prior to the start of the shift.
GENERAL/DAILY
- 24/7 availability to communicate
- Communicate work schedule to each other (dispatch meeting)
- If not coming into office let team know
- Cover all work orders
- Confirm daily if job will run next day
- 3 daily checks ins with other dispatchers (to be called by any dispatcher)
- Communicate with Drivers
- Make sure all working trucks are out and working
- Make sure all available drivers and pullers are dispatched
- Recruiting: drivers, pullers, subs
- Onboard/train or make sure to connect them to someone who can
- New job site visit (all new jobs must be visited on the first day)
- Daily reporting to Liz AND Kelvin
- Breakdowns
- Shortages
- Late
- No Call/No Show
- Call Outs
- Time Off Requests
- Revenue Per Driver, Hours Per Driver
- 2-3 job visits per week (more is better)
- Ride along with drivers (3 hrs/week or 12 hrs/month)
- Daily yard walk
HR/Managerial Role
● All dispatchers must complete assigned HR trainings and DOT compliance trainings
● Dispatchers are the first point of contact to driver HR
● Responsible for driver documentation (i.e. write-ups, 3 day notice, verbals)
