How You Will Make A Difference:

The Admissions Director will help implement and develop systems to help our intake process run smoothly while still being able to handle communication with various facilities and clinicians. We are a healthcare company that provides long term residential mental health services. Candidate must be able to multi-task and prioritize responsibilities. Achieves admissions operational objectives by contributing information and analysis to functional strategic plans and reviews; implementing productivity, quality, and customer-service standards; identifying and resolving problems; completing audits; determining system improvements; implementing change. Provide direct supervision and leadership to intake staff. This position is a direct service position that must work positively and cooperatively with team members including marketing and clinical staff.

Position Responsibilities:

  • Achieves admissions operational objectives by contributing information and analysis to functional strategic plans and reviews; preparing and completing action plans; implementing production, productivity, quality, and customer-service standards; identifying and resolving problems; completing audits; determining system improvements; implementing change.
  • Identifies current and future patient admissions requirements by establishing personal rapport with potential and actual patients and others in a position to understand service requirements.
  • Assures accuracy of patient data and fiscal information by reviewing audits and other reports of patient data and fiscal information.
  • Meets admissions financial objectives by estimating requirements; scheduling expenditures; analyzing variances; implementing corrective actions.
  • Accomplishes high bed occupancy by designing, establishing, and maintaining procedures and policies to assure high bed occupancy and control bed availability and patient traffic.
  • Keeps patients, relatives, visitors, and admitting staff informed by interpreting and communicating admitting rules, regulations, policies, and procedures.
  • Identifies pertinent admitting trends by maintaining various categories of utilization statistical data within internal reporting systems.
  • Demonstrates consistent leadership and training skills that motivate subordinates to perform at peak abilities. Subordinates are able to achieve highest level of growth and development.
  • Reviews current work schedule to maintain adequate staffing of each department at all times, approves employee timesheets and paid time off requests, and supervises the execution of weekly activity schedule for residents.
  • Provides direct supervision, coaching and clear instruction of work load assignments to staff/interns resulting in effective and efficient daily operations by providing effective services that meet the special needs of the residents in the program.
  • Acts as on call designee for emergencies or assigns on call designee when personally unavailable.
  • Communicate effectively and promptly with the Administrator and Managers about all actual or potential problems or issues that could result in risk exposure or customer dissatisfaction.
  • Meets regularly with staff to discuss challenges, successes, enhance effectiveness and efficiency of procedures and operation of the program.
  • Effectively manages resources to meet the needs of residents while reducing staff and resource waste.
  • Audits and reviews department to ensure efficiency and compliance with time sheets, reports, documentation, regulatory agencies and policies and procedures.
  • Builds commitment and overcomes resistance by being respectful to everyone’s input.
  • Balances team and individual responsibilities; exhibits objectively and openness to others’ views; gives and welcomes feedback; puts team success over own interests.
  • Manages difficult or emotional customer situations, responds promptly to customer needs, solicits customer feedback to improve service; responds to requests and meets commitments.
  • Provides a formal written performance evaluation of all supervised staff according to the policy.

  • Works with Admissions staff to maintain and increase census through maintaining and increasing established relationships with other providers and referral sources
  • Adheres to guidelines of infection control and universal precautions as outlined in the policy and procedure manual.
  • Reviews posted material, such as: new policies, procedures or protocols, staff development announcements, communication log etc., employee handbooks.
  • Accepts reassignment of other duties when necessary.

What We Are Seeking:

  • Bachelor’s Degree required. Masters preferred.
  • 3 years related experience

Skill Competencies:

  • Must have good verbal and written communication skills in order to communicate in a clear and concise manner with referents, public groups, staff and top management.
  • Must have good computer skills to assess marketing database, clinical database and use internet, email, spreadsheet and word processing software.
  • Must have good analytical ability to evaluate information reported by all members of the marketing team and revise marketing strategies accordingly.
  • Must have strong leadership and teamwork abilities.
  • Position requires frequent overnight travel nationally. Must have exceptional organizational skills during times of travel and be able to function giving the high demands associated with frequent travel.
  • Be proficient in Word, Excel, Best Notes, Salesforce and other forms of electronic tools required for the position.
