Job description

Job Summary

Provides leadership for Student Accounts and non-Student Accounts receivable for the District; performs various tasks in support of the College’s overall accounting system.

Responsibilities

  • Provides personnel management for the Student Accounts Department including hiring, orientation, performance evaluations, coaching, and personal and professional development; monitors customer service for continuous improvement; develops and updates processes and procedures to ensure duties and responsibilities are executed in accordance with District policies and procedures, Generally Accepted Accounting Principles (GAAP), and other appropriate laws and regulations.
  • Oversees the design, development and editing of tuition and fee schedules for use within the College website and College catalog; designs, develops, implements, and maintains communication strategies for students/customers regarding balances and available resources for payment; and develops and maintains communication across the District regarding Student Accounts/AR processes and updates.
  • Evaluates Student Information System (SIS) services and resolves technical problems and questions presented by students and staff; identifies challenges tied to cross-departmental processes and creates solutions; streamlines SIS processes to improve effectiveness, efficiency, and student satisfaction; and determines appropriate computer hardware and software necessary to manage Student Account processing.
  • Compiles and analyzes financial and statistical data for budgeting and auditing purposes; prepares and provides financial reports for users; prepares and submits federal 1098T reporting; collaborates in state financial reporting as required; provides documentation for audit planning and response; and ensures compliance with federal and state regulations.
  • Collaborates with departmental directors and deans including Advising, Admissions, Registration, Financial Aid, Military Services, Residence Life, and Recruitment to improve the overall student experience.
  • Collaborates on functional business requirements to ensure that technology based solutions are properly developed and applied; oversees application of information systems in their support of functional business requirements for Student Accounts/AR; acts as information systems expert and primary technical point of contact for Student Accounts/AR; works with appropriate IT staff to ensure information systems issues are addressed; works with ERP staff to design, implement, test and maintain information systems in support of Student Accounts/AR including any necessary coordination with IT and other offices on technical support and troubleshooting issues; and coordinates, oversees and participates in the functional testing of all information systems utilized by Student Accounts/AR during systems implementation, upgrades, patches and other maintenance including development and maintenance of testing plans, scripts and processes.
  • Analyzes departmental and information management processes within Student Accounts/AR; recommends and implements effective uses of technology to support these processes; monitors, reviews and evaluates appropriate new processes or technologies that could potentially enhance the College's ability to effectively manage and disseminate Student Accounts/AR related information; and designs automation processes for the Department, including use of automation tools, automated scripts and electronic workflows.
  • Coordinates and assists in the development and delivery of training and online support resources on use of Student Accounts/AR information systems to departmental personnel and other end-users; acts as a liaison for end-users, fielding questions, troubleshooting problems and providing support; provides technical support, functional guidance and direction on information systems to assigned business unit user groups, vendors and other stakeholders; acts as a liaison for end-users to coordinate support for communication systems related to professional development information systems, including email, web, portal and other automated processes; and creates and maintains documentation for Student Accounts/AR information systems and related business processes.
  • Assists in recruitment and retention of students.
  • Researches like organizations and current themes and actions related to Accounts Payable in higher education.
  • Performs other duties commensurate with functions and level of position or as assigned.
Qualifications

EDUCATION: Bachelor’s degree.
EXPERIENCE: Three (3) years of related experience.
SPECIAL POSITION CONDITIONS: Some travel in the campus service area will be required using own means of transportation. Some evening and weekend work will be required to support campus and community activities.
Background Verification: As a condition of employment, all candidates accepting an offer of employment for a full-time, part- time, temporary, student worker, or volunteer position, will be required to undergo a Background Verification. Employment with Central Arizona College is contingent upon the successful completion of the background verification. The level the background verification for this position is: Standard level.

Knowledge, Skills, & Abilities

  • Knowledge of generally accepted accounting principles (GAAP), federal and state financial and cash management regulations, reporting standards, and accounting policies and procedures, governmental accounting policies and procedures, and best practices and latest trends of Student Accounts.
  • Knowledge of fiscal management techniques including processes, policies and procedures concerning fiscal control/processing operations.
  • Knowledge of effective business and interpersonal communication skills.
  • Skill in computing mathematical calculations.
  • Skill in proofing a variety of financial transactions in order to verify accuracy, match against documentation, code to proper accounts, prepare necessary forms, post transactions, reconcile balances, and generate a variety of financial reports.
  • Skill in listening.
  • Skill in communicating, both verbally and in writing.
  • Skill in solving problems that are adaptive to a wide variety of cultures, ages, and other characteristics of our students, faculty, staff, community members, auditors, vendors, and the public.

PHYSICAL REQUIREMENTS:
The work is sedentary work. The employee is occasionally required to exert up to 10 pounds of force to move objects. Additionally, the following physical abilities are required:fingering, grasping, handling, hearing voices and distinguishing among sounds, mental acuity, reaching, speaking, talking, visual acuity in data/observations, and walking.

Work is performed in a dynamic environment that requires sensitivity to change and responsiveness to changing goals, priorities, and needs. Job is performed in general office or comparable working area with many and frequent distractions such as noise and interruptions or in congested and occasionally confined work areas with exposure to disagreeable elements.
