JOB SUMMARY:

Manages and optimizes administrative functions, and facilities management and corporate service activities for the Isuzu Companies. Implements organizational policies, procedures and initiatives to ensure efficient and compliant operations, risk management, workplace safety, and records management activities. Oversees general administrative staff and coordinates with necessary vendors to meet organizational needs. Selects, develops, and evaluates personnel and budgets to ensure cost-effective operations.

PRINCIPAL DUTIES & RESPONSIBILITIES:

  1. Oversees the management of owned and leased company facilities. Develops and implements facility-related policies, procedures and practices. Establishes and maintains relationships with key vendors, negotiates contracts, and manages service providers. Determines future requirements for building space and FF&E. Manages relationships with landlords and property managers. Oversees leasing activities, facility moves and tenant improvement work. Develops financial analysis used for acquisition strategies.
  2. Manages a range of corporate services, including office equipment, office supplies, mail services, facility security, and corporate credit card program. Ensures adherence to relevant laws and regulations applicable to administrative activities and corporate services. Develops and implements workplace safety programs, ensuring compliance with OSHA regulations.
  3. Responds to requests for information, internal audits, and surveys from affiliated companies, governmental agencies and other organizations pertaining to risk management, privacy, corporate social responsibility, and other matters. Leads and supports special projects and initiatives, collaborating with cross-functional teams as needed.
  4. Oversees risk management activities, including insurance policy placement, claim submission, and risk mitigation strategies.
  5. Develops and executes administrative strategies aligned with the organization’s goals to foster a productive and efficient work environment. Develops and implements administrative policies and procedures to ensure compliance and operational effectiveness.
  6. Establishes and maintains legally-compliant and efficient records management systems.
  7. Develops and manages the facility and administration operating budgets for the organization. Responsible for capital asset planning, justification, and submission to appropriate authority for approval.
  8. Performs miscellaneous job-related duties as assigned.

ORGANIZATIONAL RELATIONSHIPS:

  • Reports to: Executive Vice President & Chief Financial Officer
  • Direct report: Manager, Facilities Operations
  • Indirect report: Benefits & Corporate Operations Supervisor

EDUCATION, EXPERIENCE & TRAINING:

  • Bachelor’s degree or equivalent directly related work experience
  • Minimum ten years progressive administration and Corporate Operations/facilities experience
  • Minimum seven years supervisory/management experience
  • Requires experience managing long-range planning, loss control, vendor and real estate negotiations, budget control and purchasing

KNOWLEDGE:

  • Knowledge of laws and regulations governing safety, environmental, and insurance requirements
  • Knowledge of general building maintenance and inspection requirements
  • Familiarity establishing internal controls and performing internal audits

SKILLS & ABILITIES:

  • Strong PC skills in Microsoft Office applications
  • Excellent verbal and written communication skills
  • Strong problem solving, analytical, research, and negotiation skills
  • Strong attention to detail and organizational skills
  • Excellent interpersonal skills and ability to work with all levels of the organization

PHYSICAL STANDARDS:

The employee must be able to access, enter, and retrieve data using a computer. This is primarily a sedentary position in a controlled office environment which requires only occasional reaching, stooping, and lifting of office files, reports, or records, typically weighing 5 lbs. or less. Position requires occasional domestic travel, including overnight stays.

MANAGEMENT ACCOUNTABILITIES:

  • Work is performed without appreciable direction. Determines organizational objectives, interprets company policy, and delegates assignments to subordinate managers. Work is performed for multiple affiliated companies. Completed work is reviewed, from a relatively long-time perspective, for desired results.
  • Establishes organizational policies in a major segment of the company. Interprets, executes, and recommends modifications to company policies.
  • Generally accomplishes results through middle manager levels. Determines and establishes organizational structure and supervisory relationships subject to officer approval. Responsible for managing major segment of company.
  • Responsible for the successful operation of activities of major significance to the organization. May become involved in the complexities of day-to-day operational problems. More concerned to see that overall budget schedules and performance standards are realistically set and attained.
  • Represents the organizational unit as prime internal and customer contact on contracts or operations. Conducts briefings and technical meetings for top management and other personnel. Interacts with equivalent level inter-organizational managers concerning matters of significance to the company.

Pay scale for this position is between $148,616-$193,201. The actual compensation will be determined based on experience and other factors permitted by law.
