Job Title: Part-Time Digital Production Coordinator (NON-CREATIVE ROLE -- PROJECT MANAGEMENT ROLE)

Location: 100% Remote

Job Type: Part-Time

As we continue to grow, we are seeking a motivated and detail-oriented individual to join our team as a Part-Time Production Coordinator.

As a Part-Time Production Coordinator, you will play a crucial role in ensuring the seamless execution of Digital Advertising campaigns. You will work closely with the internal teams and our clients to coordinate and facilitate the campaign setup process from inception to delivery. You will ensure that deadlines are met, assets approved, designers are receiving direction to deliver rock-star level design and copywriters are wordsmithing on time. This role has the potential to become full-time based on successful execution.

Responsibilities:

  1. Project Coordination:

    • Assist in planning, organizing, and overseeing the production of Digital Advertising materials.

    • Maintain advertising platform specification documents for easy delivery to clients and designers to ensure accurate creation of digital assets

    • Collaborate with internal teams to manage project requirements and schedules via email, Slack, Monday.com and other relevant applications.

  2. Timeline Management:

    • Utilize project management application Monday.com to manage production schedules and task deadlines for all team members

    • Coordinate with clients, designers, and other internal team members to ensure tasks and deliverables are completed within estimated timelines.

    • Ensure that project resources are utilized efficiently and within budget constraints.

 

  1. Asset Management:

    • Manage file organization of artwork deliverables, reports, and contracts into Dropbox to ensure relevant files are easily accessible to team members.

    • Oversee the collection of other assets such as copy, or customer lists

    • Rename files after receipt from designers and maintain taxonomy on all artwork file names to ensure accurate analytics and reporting

    • Traffic Digital Advertising assets from clients and designers to ad operations teams for use in campaigns

    • Maintain Master Production Calendar and ensure all projects are in process

  2. Quality Control:

    • Conduct thorough quality checks on artwork deliverables to ensure they meet advertising platform specifications and internal standards.

    • Address and resolve any issues or discrepancies that may arise during the campaign setup process.

  3. Client Communication:

    • Act as a liaison between clients and internal teams to provide project updates and address inquiries.

    • Ensure client satisfaction by delivering high-quality work and meeting project objectives.

Requirements:

  • Previous experience in project coordination or production in Digital Advertising or marketing.

  • Strong organizational and time-management skills.

  • Excellent communication and interpersonal skills.

  • Ability to thrive in a fast-paced, deadline-driven environment.

  • Familiarity with google workspace products, dropbox, slack, Microsoft powerpoint, and Microsoft excel.

  • Some familiarity with project management applications (Monday.com, Asana, Airtable, etc) is preferred.

  • Some prior experience with Digital Advertising and technologies is a plus.

  • Graphic design experience and/or familiarity with software such as Adobe Photoshop, Canva, or Illustrator is a plus plus.

  • Familiarity with creative versioning tools such as Celtra, Adacado, Jivox is a plus plus plus.
