Position Title: Development Associate/ Clerical III

Department: Development

Reports to: Associate Director of Donor Engagement

FLSA Status: Full-time, Non-exempt

Grade: Union


Position Description:

Assisting the Donor Engagement coordinator: Major Gifts, associate director of Donor Engagement, and director of Donor Engagement, the development associate plays an active role in the administration of the Major Gifts, Individual Giving, and Special Events program including donor/prospect appeals and acknowledgments, gift processing and tracking, data management, and event administration. They will be part of a 15-person department that is responsible for raising approximately $7+ million in annual operating support from a variety of funding sources. This position reports to the associate director of Donor Engagement and works closely with the Donor Engagement coordinator: Major Gifts. They will also work with other department staff to support fundraising efforts in other areas as needed, with additional assistance given to special events including larger fundraising and smaller donor cultivation events.


Primary Responsibilities/Activities:

  • Manage data and implement mailings for the acquisition, renewal, and stewardship of gifts raised through annual appeals and planned gifts.
    • Administer the gift renewal and appeal system using Raiser’s Edge database.
    • Process, track, and acknowledge gifts using Raiser’s Edge database.
    • Generate personalized acknowledgment and tax letters, ensuring that contributions are confirmed, acknowledged, and reported promptly and graciously.
    • Draft miscellaneous donor correspondence.
    • Assist with coordinating solicitation and stewardship mailings using Raiser’s Edge, Excel, and e-communications tools.
  • Generate income reports utilizing Raiser’s Edge, Crystal Reports, and Excel. Ensure a high degree of accuracy and accountability.
  • Coordinate and disseminate materials for committee and staff meetings.
  • Support the associate director of Donor Engagement, director of Donor Engagement, and senior vice president of Institutional Advancement with special projects related to major and planned gifts and the Board of Trustees, including logistics and materials for events and meetings.
  • Assist Development team on major donor cultivation, stewardship, and administration of Dedications and Planned Giving programs.
  • Provide core proficiency in Raiser’s Edge to advise and assist other departmental staff, as needed, in data management, list pulls, queries, and reports.
  • Manage RSVP and guest lists for donor programs, events, meetings, tours, and site visits. Assist with making the necessary arrangements with donors and staff.
  • Assist in developing donor cultivation and stewardship event invitations and coordinate and oversee check-in process at major donor events.
  • Provide support in maintaining the Major Donors section of bbg.org website.
  • Participate in donor and prospect research team.
  • Maintain hard and electronic files for donors, prospects, and events.
  • Provide customer service for donors and members, focusing on upper level members, major and planned gift donors, and, as needed, trustees.
  • Maintain confidentiality of donor information.


Secondary Responsibilities/Activities:

  • Provide administrative support as needed for the director of Donor Engagement, associate director of Donor Engagement, and senior vice president of Institutional Advancement.
  • Assist associate director of Individual Giving and Special Events with administrative and logistical support of major annual BBG fundraising events, including the Spring Gala, and other duties as assigned.
  • Work with overall Membership & Development team on project development and long-range planning.
  • Assist with departmental events and activities, as assigned.
  • Participate in major donor cultivation events, membership on-site sales, and other special projects as needed throughout the year.
  • Perform other duties as assigned by supervisor.


Qualifications:

  • Career-track development professional with excellent organizational, planning, interpersonal, and writing skills
  • Detail-oriented and able to meet multiple deadlines
  • Proficiency in Microsoft Word, Excel, PowerPoint, Raiser’s Edge, or other fundraising software required
  • Enthusiastic, energetic team player who is able to work independently behind the scenes, as well as interact closely with trustees, donors, staff, and guests at all levels
  • Background or strong interest in cultural institutions, environment, education and/or science desired
  • Available to work evenings and occasional weekends to help meet pressing deadlines and support events during the Garden’s peak seasons (September–October; March–June).
  • Lifting and carrying of event and tour materials as needed


Compensation and Benefits

  • Salary Range – $39,763-$45,728
    Brooklyn Botanic Garden considers several factors when determining the appropriate salary to offer a candidate within the listed salary range. These factors include (but are not limited to), the scope and responsibilities of the position, a candidate’s relevant work experience and education/training, prior union/ DC37 experience (for union positions), job skills, equity across the institution, as well as market and organizational considerations.
