Job Description
Summary
The Desk Project Assistant will assist the Desk Project Manager by performing clerical duties and
ensuring that information delivered to Field Department is complete, accurate, and well organized. The
Desk Project Assistant provides necessary support for pipeline, active and warranty projects by taking
direct lead over various project aspects and work to oversee project goals, create and deliver reports
and analyze data from project execution.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
1. Responsible for answering phones, filing, setting up and attending meetings, creating and
distributing meeting minutes and other duties as assigned to support the Field Department.
2. Implement and monitor programs as directed by management and see the programs through to
completion.
3. Provide updates to senior management through memorandums, emails, phone calls, and/or
presentations.
4. Maintains and builds working relationships with subcontractors, suppliers, architects, engineers,
and clients to ensure top-notch customer service and satisfaction.
5. Completion and distribution of permit applications and plan submittals to local municipalities.
6. Communication with local municipalities and vendors to procure and disseminate necessary
information to receive signed and sealed shop drawings and construction permit.
7. Keep customers fully informed of the preconstruction progress on their project and of any
significant technical problems/solutions and their effect on design and/or cost.
8. Work hand in hand with the Desk Project Manager, to ensure that the turnover of a project from
Preconstruction stage to the Operations stage is done properly with appropriate hand off
meetings and all information is transferred to the field operations team in a timely manner.
9. Oversee all aspects of construction projects from planning to implementation,
10. Negotiate with vendors and subcontractors to acquire cost-effective proposals for pipeline and
in-progress projects through bid invitations.
11. Communicate and coordinate with project inspectors, contractors, architects, engineers, city
and county officials and clients.
12. Draft work orders and subcontract agreements and distribute them for e-signature.
13. Daily communication with customers via phone, email, and Builder Trend once the project has
commenced.
14. Track the profitability of projects as needed.
15. Other duties as assigned.

Training, Education and Licensure
● High school diploma or GED, Associates Degree preferred.
● Five (5) years relevant work experience.

This position operates in an office environment.
