Responsibilities:
- Greet and welcome guests in a professional and friendly manner
- Answer and direct phone calls using a multi-line phone system
- Provide information to callers and visitors regarding the company and its services
- Schedule appointments and maintain calendars for staff members
- Perform general administrative duties such as filing, data entry, and photocopying
- Assist with office management tasks, including ordering supplies and maintaining inventory
- Serve as a personal assistant to executives by managing their schedules and making travel arrangements
- Maintain a clean and organized reception area
Skills:
- Proficient in operating phone systems and handling multiple incoming calls
- Strong office management skills, including the ability to prioritize tasks and manage time effectively
- Computer literate with knowledge of office software applications (e.g., Microsoft Office Suite)
- Excellent file management skills, ensuring documents are properly organized and easily accessible
- Accurate and efficient data entry skills to input information into databases or spreadsheets
- Strong organizational skills to keep track of appointments, meetings, and deadlines
- Previous experience in an office or administrative role is preferred
- Exceptional customer service skills with the ability to handle inquiries or complaints in a professional manner
