Under general supervision, this customer-oriented position performs routine and complex confidential administrative, clerical, and accounting tasks. - Manages customer requests by telephone, mail, electronically or in person, some of which may include complaints; analyzes those requests, provides the information requested or distributes the request to the proper division or individual. Includes follow-up with customers and appropriate departments, divisions, or external organizations.
- Operates the recreation management and league management software; creates customer accounts, processes activity registrations, refunds, and transfers.
- Manages office operations; establishes and retains filing systems and maintains confidential records, correspondence, and information as required.
- Generates accounting reports and activity records, assists with membership management, and provides administrative support.
- Assists in the coordination and creation of new programs, league rules, and division policies and procedures with an emphasis on safety and sportsmanship.
- Assists the Recreation Supervisor-Sports with Team Picture management, scheduling, Customer Service requirements, picture distribution and payment processing.
- Leads inventory processes and organization of all sports equipment and jerseys.
- Completes special projects which may be time sensitive, requiring the ability to re-prioritize workloads.
- Assist the Sports Division in implementation of philosophies, methods, policies, and procedures to achieve Town, Departmental and Divisional goals.
- Complies with all Town, Department and Division policies and procedures, and Town's Core Values.
- Performs other related duties as assigned.
Must be 18 years of age or older with a High School Diploma or GED equivalent supplemented by three (3) years of increasingly responsible, related experience in Customer Service or similar environment. Must have the ability to obtain a Notary Public status in accordance with the State of Colorado Secretary of State.
Employment Standards
The requirements listed below are representative of the knowledge, skill, and/or ability required.
- Knowledge of the administration, coordination and the rules associated with youth and adult sports leagues.
- Knowledge of modern office practices, to include basic accounting and financial analysis.
- Skill in operating standard office equipment: computers, 10-key calculators, copiers, faxes, multi-line telephone systems, and various software programs. (Microsoft Office applications)
- Skill in verbal and written communication, strong organization and math skills, and basic record keeping skills.
- Ability to prioritize workloads, handle multiple tasks, conflicting priorities, and occasional stressful situations.
- Ability to create spreadsheets, perform mail merges and effectively utilize.
- Ability to type 30 wpm.
- Ability to provide all customers, internal and external, with consistent, quality service.
- Ability to analyze situations thoroughly, identify potential problems, and find effective solutions. Ability to secure resolution of customer complaints in a timely manner.
- Ability to work flexibly, less than 29 hours per week, year-round, with evenings and weekends occasionally required.

Requires frequent use of general office equipment and an automobile.
Physical Demands
Requires regular sitting, standing, walking, talking, handling, feeling or operating objects, stooping, kneeling, crouching, or crawling. Requires occasionally reaching with hands and arms, climbing and balancing. Requires minimal physical activity with moderate lifting, up to fifty (50) pounds. Requires close and distance vision acuity and the ability to adjust focus, allowing a broad field of vision.
Environment
Work is frequently performed in a climate-controlled office environment, but employees holding this position may be exposed to extreme cold or heat and wetness/humidity. The noise level is usually high and may range from moderate to extreme. The employee may occasionally work with or around hazardous items or hazardous conditions such as mechanical equipment, electrical equipment, chemicals, or radiant energy.
