The Downstream COP & Customs Specialist works in the Customer Order Processing area. The operational daily routine of this position is carried out independently by the employee. The Downstream COP & Customs Specialist is the main contact in any "Order to Cash" related questions in the organization. In case of complex questions, this position supports the clerks with their technical expertise in the respective subject area as of customs. The Downstream COP & Customs Specialist reports to the Head of COP.
Tasks and Responsibilities
Disposition
- Serves as the main contact person for all "Order to Cash" related questions.
- Utilizes the company's ERP system to process sales orders, which includes scheduling deliveries and confirming orders.
- Coordinates and overseas shipments to and from customers.
- Engages in daily communication with both internal and external customers through phone and e-mail.
- Identifies and escalates priority issues, reporting them to senior management.
- Promptly informs the purchasing department about any overdue purchase orders or stock issues.
- Evaluates the compliance of sales orders with the required commercial quality standards.
Distribution
- Coordinates transportation and booking of export shipments.
- Prepares and verifies export shipment documentation.
- Passes on transport information to the customers.
- Prepares invoices and credit notes.
- Receives and handles transport and customer claims.
- Reviews and approves shipping invoices.
Customs
- Deals with all customs issues related to exports.
- Handles current customs matters and specifies them to the company's international requirements.
- Prepares relevant documents and ensures correct documentation and compliance.
- Works with customs software and implements legal alterations.
- Maps customs processes in the software in coordination with COP Experts of Fronius International
- Attends external trainings to stay updated on US import/export requirements.
- Networks with technical topics and ensures active knowledge transfer through the Fronius Group
- Cooperates with authorities, such as customs as needed (e.g., Audits)
- Participates in various corporate projects within the scope of their activities.
- Performs any additional duties as assigned.
Requirements
- Possess a valid Passport or have the ability to obtain and pay for a valid Passport.
- Completed technical and/or business education with focus on import/export trade or logistics (university, technical college, or comparable further education/training)
- 3+ years of professional experience in the field of international logistics
- Knowledgeable in domestic and/or international shipments
- Structured and independent way of working
- Analytical with strong problem-solving skills
- Understanding of interdivisional processes
- Able to work independently and as a team.
- Strong interpersonal skills
- Highly customer service oriented
- Reliable with a high level of commitment
- Strong MS Office skills
