Examples of Duties
Use judgment when answering telephone calls to resolve questions regarding all aspects of court functions; relate outstanding court orders; offer extensions to court orders as per standing orders; schedule hearings and explain how to access virtually; answers questions about trial or hearing schedules and assists public in resolving questions regarding various civil processes and papers.
Review new cases and monitor charges to assure adherence to criminal code processes.
Assist potential jurors with any questions regarding Juror Questionnaire and Jury Duty process. Verify attendance during check-in process for jury duty.
Receive filings for small claims proceedings adhering to state rules of small claims procedure; understand and implement the Online Dispute Resolution process; working knowledge/understanding of deadlines for returns of service to be able to communicate to the plaintiff; ensure accuracy of filings; prepare affidavits and orders; verify documents submitted comply with rules and procedure; set trials/hearings; collect filing fees and initiates docketing.
Process electronic filings from attorneys or Judge and complete next processes; verify accuracy of filings; impose applicable filing fees; process minutes for pleas by affidavit; process information and summons; create book and release orders; schedule hearings; process restitution requests - including creating letter to defendant; communicate with party if anything incomplete; process orders to dismiss; orders of withdrawal of counsel.
Monitor Judge's spreadsheet; create court orders and forward to parties involved; process any warrants, credits, or revisions to current court orders; initiate required tracking measures.
Review accounts receivables on daily Transaction Detail Report to verify payments received satisfy court orders; review case to determine whether letters need to be sent per statute; tracking updated; balance daily cash and prepare deposit; close out case files.
Monitor case file tracking measures to monitor compliance with court orders; adhere to court procedures to issue orders to show cause, create and mail notices of bond forfeitures, validate and issue warrants, communicate with prosecutor office regarding deadlines for expungement and failure to appears on summons, apply credits for jail time served, review bail posted procedures to determine further action; review criminal records to verify compliance with probation/plea in abeyance conditions.
Review legislative amendments and software updates to understand impact to current procedures. Assist the Court Clerk Supervisor to evaluate procedures and operations based on changes and update court documents and records as needed to assure compliance with policies, procedures, and practices of the judicial system. Issues arrest and bench warrants; verify warrant information for issuance; create notices of bench warrants; confirm warrants are recalled if paid online or if defendant has appeared in court daily; issue delinquent
Utilizes confidential Utah Criminal Justice Information System to analyze rap sheets, driving records and other records to assist the Judge in sentencing, verify compliance with specific terms of probation, and updating expired warrant information.
Act as Alternate TAC representative supporting the TAC in complying with Utah laws and rules governing the dissemination, privacy, and security of all UCJIS files; assisting users to update access when expired; offer supplemental training to users as duties change; verify fingerprints are submitted and reflect on criminal record; attend annual mandatory TAC Conference; pass an annual TAC Test
Update Approved Agency list for Community Service Hours.
Receive filings for expungements adhering to established court procedure; ensure accuracy of filings; effectively communicate the process to defendant; create accounts receivable and verify receipt of filing fee prior to processing order to expunge.
Assist in-Court Clerks with preparing for upcoming calendars by creating spreadsheet for each calendar session; entering all contact information for defendants that are scheduled for that court calendar; share spreadsheets with clerks to allow the importing of information when scheduling through WebEx.
Review entries of appearance; review case to determine what type of hearing should be scheduled; communicate with attorney the appropriate process.
Utilizes confidential Utah Criminal Justice Information System to analyze rap sheets, driving records and other records to verify compliance with specific terms of probation, and plea in abeyance.
Receives, dockets and processes notices of appeal; processes judgments, abstracts of judgment, satisfaction of judgment, supplemental motions, orders to show cause, garnishments, and executions.
Receives and processes requests for small claims proceedings; prepares affidavits and orders; explains procedures, sets hearings, collects fees and initiates docketing.
Maintains liaison and communications with agencies associated with the criminal justice system such as, police department, bail bondsmen, prosecuting attorneys, Victim Services Coordinator, private attorneys, probation officers, treatment agencies, defendants, city courts, city offices and the public.
Types various reports, memoranda, forms, abstracts and documents for the court.
Minimum Qualifications
MINIMUM QUALIFICATIONS
Education and Experience:
- High School Diploma/GED
- One (1) year of experience related to above or similar duties;
OR
- An equivalent combination of education and experience
Special Qualifications:
- Familiar with UCJIS, Coris, CorisWeb, Efileback.Utahcourts.gov, Online Dispute Resolution, WebEx, Judicial Workspace, Exchange, Vinelink, BCI Suspense Files, and other software applicable to the organization.
- Must submit to a background check and be eligible to receive security clearance for access to state databases and systems.
- Must successfully complete annual court training from the Office of the State Courts.
Additional Qualifications/Information
Essential Functions, Knowledge, Skills, and Abilities:
Some knowledge of acceptable customer service standards; legal and court terminology; basic cash and payment handling; digital and paper filing systems.
Ability to communicate effectively, verbally and in writing; work under stressful working conditions created by strict time frames and upset individuals in unpleasant situations; learn legal and court document formats; learn criminal and civil law as it applies to court processes.
Work Environment:
Incumbent of the position performs in a typical office setting.
