Responsibilities- Provide guidance to others concerning CATMS policies, system access, system use, and status of taskers within the system
- Develop and present tracking information and products to maximize understanding and minimize ambiguity on the status of taskers within CATMS
- Provide editorial support of correspondence task packages at the executive level within the Federal Government
- Write and edit senior executive-level correspondence
- Review, evaluate, and develop documents for editorial quality, consistency and compliance with established style, format, and content
- Be familiar with the CATMS Manual, DoD Manual for Written Material, Vols I and II or a comparable government regulation
- Perform research, preparation, and communication on all CATMS packages to ensure all timelines are met. Additionally, explain and interpret CATMS policies, programs, and functions; and prepare tracking products, guidance, mass emails, executive summaries, and correspondence packages for highest level senior leaders.
- Maintain the logistics CATMS inbox, accepting/rejecting all incoming taskers in a timely manner. Assign taskers to appropriate action officer(s) within Logistics office. Assist with completion of taskers to include distribution of correspondence materials.
- Edit and process executive correspondence packages for senior leader signature, including congressional letters and reports, decision memoranda, DoD policies and directives, and responses to incoming mail.
- Ensure written correspondence products meet Department of Defense standards, guidelines, and updated business rules for written material through use of thethe DoD Manual for Written Material, Vols I and II
- Attend and participate in meetings, take meeting notes, record taskers and actions, and update the staff when necessary.
- Task and coordinate responses for FOIA, DoDIG, GAO, and other requests for government information.
- Research, preparation, and publishing of written materials that explain and interpret policies, programs, and functions; prepare policy guidance, mass emails, articles, executive summaries, and information/issue papers.
- Manage multiple assignments from multiple people in busy work environment.
- Maintain confidential or sensitive information and documents.
MINIMUM:
- DoD Secret Clearance Required
- 5+ years of experience supporting senior DoD leadership
- Excellent written, oral, and interpersonal communication skills.
- Experience with managing, coordinating, editing, and formatting DoD or other government correspondence packages
- Familiarity with the DoD Manual for Written Material, Vols I and II or a comparable government regulation preferred
- Prior experience providing administrative support to senior DoD leadership preferred
- Excellent organizational skills, ability to establish and maintain working relationships with internal and external staff members, and the ability to work independently and take a proactive role
- Flexibility and ability to prioritize tasks according to senior staff requirements.
- Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and SharePoint
- A true team player who maintains a positive attitude in a dynamic environment
- High energy, enthusiasm, tact, ability to interact effectively with senior executives from Government and industry as well as Pentagon staff members.
- Ability to create and foster a cooperative work environment.
