POSITION REPORTS TO: Director, Artistic Operations, Opera and Classical Programming
POSITION MANAGES: Opera Interns (Fall; Spring; Summer)
POSITION LOCATION: 100% onsite during summer residency; Hybrid for the remainder of the year - will require days onsite and allow telework
Wolf Trap Foundation for the Performing Arts seeks a Coordinator, Company Management, Opera and Classical Programmingwho is responsible for managing key elements of operations and artist services for Opera and Classical Programming. Responsibilities include overseeing travel and lodging arrangements for professional staff and visiting artists; reconciling, analyzing and reporting company financials; creating the structure of the annual Wolf Trap Opera audition tour. The Coordinator is a key member of the Opera and Classical Programming year-round team, making strategic decisions on how best to align operational goals with the artistic vision and resources of the department.
DUTIES AND RESPONSIBILITIES:
Schedule, Administration, and Management
Provide onsite artistic duty at performances, rehearsals and events as needed.
In partnership with the Director, Artistic Operations, manage interns/apprentices by recruiting, selecting, training interns/apprentices. Supervise and assign tasks and responsibilities. Communicate job expectations; plan, monitor, and appraise job results.
Track and analyze monthly department financial statements and all accounts payable for the department.
Exercise initiative in recommending optimal solutions for expense adjustments.
Assist Director, Artistic Operations in reforecasting and budgeting processes.
Process and reconcile department contracts, invoices, check requests, credit cards and other expenses.
Liaise with the Finance department to resolve any discrepancies quickly and accurately.
Lodging and Travel
Work with Director, Artistic Operations to execute all artistic housing for the summer season with corporate partners, George Mason University, and volunteer Housing Hosts.
Coordinate travel and lodging for all guest artists; provide oversight on corporate partnerships related to travel and hotel accommodations.
Coordinate local ground transportation for guest artists as needed.
Audition Tour Management
Research options and propose scenarios for the annual audition tour, including overall timing, and geographic structure.
Arrange travel and lodging for audition tour personnel.
Identify and book optimal audition venue rentals.
Prepare and manage application content and databases throughout all stages of tour planning.
Conduct post-tour analyses for future audition planning.
Artist Services
Work with Director, Artistic Operations to draft, issue, process, and archive all seasonal employee agreements for summer staff.
Schedule and manage on-site logistics for guest industry professionals and faculty during summer opera season.
Within budget and staffing constraints, determine structure of and oversee artist services for Chamber Music Artistic Advisor, Filene Artist in Residence and other guest VIPs.
Marketing
Maintain the Wolf Trap Opera blog page, including updates to artist bios and alumni pages.
Review Opera-centric posts on the Foundation’s social channels.
Review Season Book, advertisements, and other Foundation marketing collateral for opera productions.
Production
Throughout the summer season, coordinate weekly live streaming of Little Lunch Music to Facebook.
Work alongside production team to assist in video and audio capture for Aria Jukebox and other recorded and streamed events each season.
Assist in the production and streaming of donor events and opera season announce.
EDUCATION AND EXPERIENCE:
2-4 years’ experience in production and/or administration within a professional arts organization.
BA/BS/BM degree preferred but not required.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Familiarity with and appreciation of opera;
Proficiency in Microsoft Office software;
Proficiency in DocuSign, and Filemaker Pro;
Knowledge of Adobe Premier Pro, Adobe Illustrator, Adobe Photoshop;
Proficiency in live-streaming capabilities of Facebook, Instagram, YouTube, and Streamyard;
Strong organizational skills, strong verbal and written communication skills;
Capacity to seek and synthesize information;
Demonstrated ability to self-motivate and work independently;
Facility with handling multiple projects and thriving in a fast-paced environment;
Disposition for working well on a team and dealing fluently with a wide variety of artists and colleagues;
Must possess a current driver’s license, a reliable vehicle, and ability to drive regionally to transport artists;
Ability to work early morning, evenings, weekends and some holidays;
Sensitivity and commitment to the mission of Wolf Trap Foundation for the Performing Arts.
PHYSICAL DEMANDS:
Must be able to remain in a stationary position 50 percent of the time;
Constantly operates a computer and other office equipment (i.e. calculator, copier, printer, etc.);
Regularly required to walk, stoop, bend and reach with arms;
Infrequently lift/move up to 40 pounds.
