Job description

At Stony Brook Medicine the Contract Regulatory Coordinator will administer the Contracted Services Quality Assessment / Performance Improvement (QAPI) Program. The coordinator will maintain a list of all service agreements per the Centers of Medicare & Medicaid (CMS) and the Joint Commission (TJC) requirements.
The goal is to promote positive patient outcomes through the integration of contract performance improvement expectations and measurement tools.
Qualified candidates should demonstrate excellent intrapersonal skills and time management skills. They should have attention to detail and be able to work with all levels of the organization and Quality Management data should be kept confidential. Top candidates will have outstanding presentation and report writing skills, with the ability to work on their own initiative and as part of a team.
The Contract Regulatory Coordinator proactively keeps the Director of Hospital Purchasing and unit managers informed of the progress of performance expectation reviews, and actively participates in the contract metric assessment process. The Contract Regulatory Coordinator assists with the maintenance of in-house Contract tracking tools and performs other duties and special projects as assigned. Additional responsibilities include preparing presentations, and writing reports.
Responsibilities:
• Conduct contract audits of varying degrees of difficulty and complexity, independently or with minimal assistance.
• Educate Hospital personnel on the Contracted Services QAPI Program as it relates to Vendor performance and validate their self-assessments.
• Provide guidance and technical direction to other staff.
• Seek ongoing training to gain additional expertise in healthcare auditing and professional standards.
• Attend team meetings, phone conferences, and training as needed.
• Identification and review of all service arrangements that have direct and indirect patient impact based on care and treatment of the patient.
• Maintenance of a listing of Clinical and Non-Clinical Service contracts.
• Working with the Department Head / Stakeholder, Quality Team, Buyer, and other departments will establish specific Performance Expectations per agreement.
• On a prescribed basis, will distribute an evaluation tool to the appropriate Department heads and Stakeholders.
• Track Vendor evaluations on an established schedule as appropriate.
• Review each evaluation for performance feedback.
• Take action for identified negative comments and areas in need of improvement.
• Track all negative comments and draft notes to vendors informing them of expected need for improvement.
• Prepare reports to the Performance Assessment and Patient Safety Quality committee of the Governing Body.
• Present findings to the Patient Safety Quality committee.
• Report on a quarterly basis, any new Clinical service agreements to the Patient Safety quality committee.
• Chairs the Contract Service - QAPI Team meetings.
• Other duties and responsibilities as assigned.
Qualifications
Required Qualifications:

  • Minimum of a Bachelor's degree with three years of healthcare experience, including a minimum of two years of procurement experience.
  • Excellent oral and written communication skills.
  • Effective interpersonal, critical thinking and analytical skills.
  • Proficient with Microsoft Office Suite. Experience with data analysis tools.

Preferred Qualifications:
  • A minimum of a Master's degree.
  • Five years or more of healthcare experience, including a minimum of three years procurement experience.
  • CPHQ Certification.

Prior to start date, the selected candidate must meet the following requirements:
  • Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services*
  • Complete electronic reference check with a minimum of three (3) professional references.
  • Successfully complete a 4 panel drug screen*
  • Meet Regulatory Requirements for pre employment screenings.
  • Provide a copy of any required New York State license(s)/certificate(s).

Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.
*The hiring department will be responsible for any fee incurred for examination.

Anticipated Pay:
The starting salary for this position has been established as - $64,000 - $82,000 / year.
The above salary represents SBUH's good faith and reasonable estimate of the range of possible compensation at the time of posting.
In addition, all UUP positions have an additional $3,087 for location,
