CONTRACT ACCOUNTANT
GENERAL STATEMENT OF DUTIES: We are looking for a strong Contract Accountant who is detail-oriented and highly motivated to join our team. Under the supervision of the Executive Director, the Accountant will handle monthly processes, including preparation of general ledger and journal entries, reconciliation of banking and balance sheet accounts, fixed asset accounting, accounts payable and accounts receivable, project and program accounting, annual budget preparation, tax filing preparation, and assisting with organizational financial reports and analysis. They will also handle the financial administration of funding grants, which includes compiling and auditing transactions, and analyzing, and reporting complex financial information.
ABOUT OUR ORGANIZATION: Face to Face is a community-based organization located in Santa Rosa, founded in 1983 as a community response to the AIDS crisis. The agency has adapted to the many changes brought by the disease and the communities affected by it, developing innovative and effective programs to best serve our clients and the public at large, often replicated elsewhere. Our mission is ending HIV in Sonoma County, while supporting the health and well-being of people living with HIV/AIDS. We advance our mission with programs and services in three areas: Prevention, Testing, and Care Services. The continued success of Face to Face is dependent upon the trust of its community and clients, and the dedication to preserving that trust.
GENERAL RESPONSIBILITIES:
- Responsible for developing and administering accounting systems and operational accounting in accordance with Generally Accepted Accounting Principles (GAAP) utilizing QuickBooks Online.
- Prepare all financial, project/program and grants accounting. Work with Directors to ensure grant reporting is accurate and timely.
- Prepare timely financial reports and communicate detailed financial analysis to Executive Director and Board of Directors.
- Project and monitor monthly cash flow.
- Manage payroll, accounts receivable and accounts payable cycles.
- Maintain general ledger chart of accounts and perform analytical review and reconciliation of balance sheet accounts.
- Manage external audits, including preparation of supporting documentation for annual year-end financial audit. Assist with funding source audits, worker’s compensation audits, and IRS audits.
- Work with the Executive Director in the preparation of the annual operating and capital budgets and monitor budget compliance and variances.
- Recommend short and long-range plans that address profitability and cost savings opportunities and monitor the effectiveness of action plans.
- Participate in and support key business initiatives and ad-hoc projects as needed.
- Help maintain accounting policies and procedures that ensure internal controls and compliance.
REQUIRED SKILLS AND EXPERIENCE:
- Bachelor's degree in accounting/finance highly desired and/or 5 years’ experience in an accounting position.
- Solid knowledge of Generally Accepted Accounting Principles and accrual accounting.
- Demonstrated knowledge of and experience with budgeting and financial reporting.
- Ability to handle complex operational and financial transactions.
- Ability to work independently, and able to appropriately and effectively prioritize a wide range of responsibilities with given deadlines.
- High integrity and strong work ethic.
- Excellent written and verbal skills and knowledge of computer-based spreadsheets, databases and QuickBooks.
- Must possess good communication skills with the ability to foster positive teamwork.
HIGHLY DESIRED:
- Nonprofit experience highly desirable.
- Knowledge and experience with governmental accounting and contracting practices.
- General knowledge of HUD compliance rules and monthly reporting practices.
- Ability to work with outside auditors from varies sources of government funding and annual audit of our financial records.
CONFIDENTIAL DATA: Extensive, must be able to maintain confidential information.
Work Environment: In-office and remote (Hybrid). We are committed to employee and client safety and limit the number of people in-office at one time. When in-office, social distancing is observed and PPE is available. Offices are on the second floor, requiring stairs. Face to Face works to prevent the spread of HIV in many ways, including sex positive and harm reduction programming. Frank sex talk and images, as appropriate, are part of our work and work environment. Applicants should be comfortable in such an environment. Pay: $50.00 - $80.00 per hour
