Job Description
We are looking for Construction Assistant Project Manager to join our team!
Responsibilities:
- Maintain and organize project files, including drawings, specifications, contracts, and change orders.
- Maintain a comprehensive calendar of project activities and track material delivery ETAs, ensuring timely completion.
- Prepare and distribute meeting agendas, minutes, and action items.
- Schedule and coordinate meetings with project stakeholders, including subcontractors, consultants, and vendors.
- Process invoices and submittals for payment in accordance with project budgets and timelines.
- Generate reports and track project progress using project management software.
- Assist with the preparation of bids and proposals.
- Handle incoming calls and emails, directing inquiries to the appropriate personnel.
- Order and maintain office supplies.
- Perform other administrative tasks as assigned.
- Lead Procurement of all materials for all projects and placing these orders with various vendors
- Review and evaluate of vendor proposals.
- Research project materials for purchasing, researching and submitting data cuts for approval.
- Set up contract agreements w/ Owner or Subcontractors.
- Updating project schedules.
- Assisting with office phone calls, filing, scanning, copying, etc.
- Scheduling meetings & coordinating attendees.
- New vendor, supplier and subcontractor acquisition.
- Assist with updating submittal logs and following up with respective subcontractors/vendors/architects.
- Assist with the processing of proposals, change orders, meeting notes, and submittal logs.
- Maintain clear communication with subcontractors, vendors, and architects regarding deadlines and follow-up actions.
Qualifications:
- Minimum 2-3 years of experience in an administrative role, preferably in the construction industry.
- Experience in construction or architectural firms highly preferred.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Project) mandatory.
- Experience with contract negotiation and procurement processes a plus.
- Strong analytical and research skills with ability to interpret data and present findings effectively.
- Excellent communication and interpersonal skills, both written and verbal.
- Ability to work independently and manage multiple tasks simultaneously.
- Detail-oriented and highly motivated with a commitment to accuracy and efficiency.
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Experience with project management software a plus.
- Ability to maintain confidentiality and discretion.
- Valid driver's license and reliable transportation to travel to projects.
