The Food Bank of the Southern Tier is seeking a dynamic and driven Community Impact Support to provide support to the Community Impact Department, programs, and partnerships.

Starting Wage: Starting $19.38 - $21.00 per hour based on a 35-hour workweek.

Primary Functions:

The Community Impact Support Specialist (CISS) is vital in providing support to the Community Impact Department and ensuring the smooth operation of the Food Bank’s community programs and partnerships. The primary focus of this position is on achieving department goals and fostering collaboration with diverse teams and stakeholders. Success in this role relies on a skill set that includes administrative proficiency, expertise in grant and project coordination, effective communication, and a dedicated commitment to fulfilling the objectives of the Community Impact Department. This position requires strong organizational, communication, and interpersonal abilities and proficiency in data management and grant administration.

Specific Duties:

Administration

  • Provide administrative assistance on various projects and tasks to the Senior Community Impact Manager (SCIM) and the Community Impact Department, demanding exceptional customer service and discretion.
  • Assist program partners with ordering, statistics submission, deliveries, and other related tasks or issues.
  • Collaborates with the Community Impact Coordinator (CIC) to maintain program and partner information, facilitate onboarding for new partners, and organize training materials.
  • Collaborates closely with Business Services and Warehouse Operations to process agency lines of credit, product credits, and returns.
  • Reviews Primarius Online (POL) orders and processes changes.
  • Works alongside the Programs & Partnerships, Service Insights, and Operations Teams to optimize Senior Mobile Food Pantry reservations, ensuring accurate and timely scheduling while efficiently updating and communicating food preferences for upcoming deliveries.
  • Assists in managing unscheduled or unplanned closings, ensuring prompt rescheduling or cancellation of agency orders.
  • Maintain monthly agency statistics, ensuring accurate and timely updates in the Service Insights Platform and Primarius. Proactively engages with delinquent agencies to address discrepancies and uphold program compliance.
  • Retrieve and submit monthly statistics for state-level reporting; compile and send agency-level Primarius reports to partnering agencies upon request.
  • Collaborates with the Data & Evaluation Manager for year-end statistics.
  • Generates, maintains, and tracks performance measures for tasks and projects within Asana.
  • Engages actively and collaborates within diverse cross-collaborative teams to achieve agency goals.
  • Offers administrative support for the Agency Advisory Committee and county coalition meetings.
  • Assists with Standard Operating Procedure (SOP) creation for projects as needed.

Client & Customer Service

  • Partnering with the Operations Team, distributes Emergency Food Boxes while connecting walk-in clients with local agencies and resources that match their specific needs, and records client data in the Service Insights Platform (SIP).
  • Aids in supporting Supplemental Nutrition Assistance Program (SNAP) Outreach initiatives, including referrals through GSNAP (Google SNAP).
  • Provides support for client referrals across all six counties.

Grant & Project Coordination

  • Utilizes the Foundant Grantmaking Platform to assist the Senior Community Impact Manager in managing annual grant processes, including the Hunger Prevention & Nutrition Assistance Program (HPNAP) Operating Support process, food grants, county grants, internal grants, and any other relevant grants as necessary.
  • Assist with making decisions around grant approvals and allocations.
  • Verify that the documentation for HPNAPs beginning-of-year and end-of-year is complete, accurate, and submitted promptly in accordance with requirements.
  • Maintains the annual list of participating agencies for The Emergency Food Assistance Program (TEFAP), ensuring its accuracy and submitting it yearly to the Office of General Services (OSG).
  • Collaborates with Program & Partnership Teams to keep agency partners informed about donations or grant awards through efficient and regular communication.

Communication & Collaboration

  • Serves as liaison between different Departments to ensure optimal program and project delivery.
  • Maintains and updates sections of the Food Bank website, including Primarius Web Window.
  • Communicates with agencies, Mobile Food Programs (MFP), program partners, and youth programs regarding unforeseen changes, order/delivery discrepancies, and other concerns related to agency orders. Informs and collaborates with relevant staff as necessary.
  • Receives delivery schedule from drivers and informs relevant parties of their delivery window each morning.

General

  • Covers front desk duties when required, including answering the phone, greeting guests, and assisting walk-in clients.
  • Perform other duties as assigned.

Qualifications:

  • High School Diploma/GED preferred; 2+ years of administrative support experience required.
  • Strong proficiency in Microsoft Outlook, Word, Excel, Teams, & PowerPoint, and Google Docs is highly preferred.
  • Excellent written, verbal, and interpersonal communication skills, including proficiency in telephone and presentation communication.
  • Ability to work with individuals who have experienced trauma and/or experience assisting people in navigating the social safety net is strongly preferred.
  • Familiarity with Foundant Grantmaking Platform and Primarius 2 a plus.
  • Serv Safe certified preferred.
