A Brief Overview
The Clinical Secretary provides clerical/secretarial support to the clinical staff in the provision of efficient, high-quality patient care.
Greets all patients and visitors to unit. Initiates the admission process for patients. Schedules cases and allocates resources for the unit. Answers the telephone and takes detailed messages. Submits patient charges on a daily basis. Orders all unit supplies.
Education Qualifications

  • High School Diploma / GED Preferred

Experience Qualifications
  • Previous clerical support and computer experience. Preferred
  • Experience using computers and Microsoft Office. Preferred

Skills and Abilities
  • Understanding of medical terminology. (Required proficiency)
  • Excellent verbal/written communication, public relations, and organization skills. (Required proficiency)
  • Ability to develop good rapport with fellow employees; ability to work both independently and within a team environment. (Required proficiency)
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization. (Required proficiency)
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. (Required proficiency)

What you will do
  • Greets all patients and visitors to the unit. Admits patients into the computer system. Follows established policies and procedures.
  • Provides schedules of cases to the staff. Assures that all information necessary to each case is in the chart before procedure time. Orders all paper goods and business supplies for the unit. Maintains sufficient supply levels of educational brochures.
  • Schedules cases to best facilitate patient progress and ensure that resources are available for each case. Calls physician's offices to coordinate schedules, verify patient demographics, relay special needs, assist with transportation needs. Enters and reconcile patient charges.
  • Answers telephones. Takes detailed messages for staff and physicians and prioritizes their importance. Deals with callers courteously at all times. Is a liaison between other departments and offices.
  • Prepares and maintains patient's medical records while in the patient care area. Send chart information to physician's offices as needed. Maintains patient confidentiality (HIPAA)
  • Maintains department specific checklists, logs, policies, guidelines, etc.
  • Manages mail, packages, and shipping for department.
  • Run and analyzes reports for leadership as necessary.
  • Assists with department communication.
