About the Position:

We are seeking a part-time Clinical Intake Specialist (Patient Care Coordinator) to work in our pediatric therapy clinic(s) located in Washington, DC & Arlington, VA.

Minimum Qualifications:

• Clinical Intake Specialist (Patient Care Coordinator)
• Ability to work between 8:00 am – 6:00 pm EST
• Current/Past Occupational Therapy, Physical Therapy or Speech Language Pathology license, SLPA, PTA, COTA
• Two years of experience working with children with developmental delays
• Knowledgeable of evidence-based practices found to benefit children
• Experience and ability to work independently, using critical thinking skills and processes to arrive at objective, results-oriented decisions within the context of Patient Care and organizational priorities.
• Customer service orientated and professional attitude
• Candidate should demonstrate good judgment, decision-making, and communication skills with a variety of individuals and groups.
• Candidate should exercise discretion and maintain confidentiality.
• Must relate well to children and their families.
• Proficient working knowledge in all applicable computer programs EMR System, Microsoft Suite, etc.

Role of Clinical Intake Specialist (Patient Care Coordinator) at Skills on the Hill, LLC:

• First point of contact by phone and email for inquiries and new clients that come in through the INITIAL CONTACT FORM (Front Desk Staff will always refer inquiries to this form)
• Maintain referral tracker to organize new client information
• Participate in Referral Tracker meeting each week with team members
• Contact and schedule new clients for clinic evaluations.
• Determine appropriateness of new clients from outside clinics converting to direct treatment (Front desk staff will then schedule new clients going directly to treatment)
• Send out intake information to prospective clients and stay on top of the timeline for paperwork being completed by families to keep the process efficient and fluid.
• Review paperwork to ensure client is appropriate prior to scheduling. Those who require specific review from OT/PT/Speech leads will be passed on for review before proceeding to schedule.
• After Benefits Team obtains signed Financial Agreement, schedule evaluation for OT, PT, and Speech at DC and VA offices.
• Send out instructions to families prior to appointments and review policies for attendance
• If an evaluation cancelation occurs, will work with other administrative team members to reschedule the evaluation in a timely fashion
• Keep a running list of open evaluation slots to be filled for each discipline and update daily
• Open evaluation slots are dependent on the needs of the company and/or individual provider caseloads. This will ebb and flow and the coordinator must seamlessly adapt (i.e., Focus on wait list or focus on filling eval slots).
• Assist Clinical Director in managing school evaluations requested on a weekly basis (add to tracker, discuss assignments, assign to therapists via email)
