Principal Responsibility
Under the supervision of the Controller, the Clinic Billing and Revenue Cycle Analyst is responsible for managing day-to-day medical billing, working within the Finance Department to ensure billing is accurate, current, and traced and reported. This position also serves as backup to various Finance Department functions, including accounts receivable, accounts payable, and general ledger.
Essential Duties and Responsibilities
Leadership, Administration and Operations
Tracks Clinic revenue deposits to bank accounts on a weekly and monthly basis
Reconciles productivity and Revenue detail to provider activity, calculates encounter per hour, reporting per provider
Coordinates closely with Clinic operational management to identify and resolve discrepancies, works to resolve process productivity issues that are identified
Verifies accuracy of billing data, correcting identified errors
Coordinates with Clinic payors (i.e.. DHCS, Healthy SF, Consortium, etc.) and related consultants to facilitate regular billing, reporting, reconciliation, and support of funder audits
Working with the general ledger accountant, reconciles the Clinic revenue accounts with the Epic subledger information monthly
Reconciles co-payment receipts monthly and acts as liaison to the third-party payment contractor
Oversees the recording and collection of payor invoices, ensuring accurate and prompt processing and payment
Creates as necessary itemized bills, invoices and other billing documents to generate revenue, and work with payors to receive those payments
Participates on various industry work groups as St. Anthony's representative (e.g. OCHIN Epic CFO Work Group, etc.)
Supports preparation of annual Clinic revenue budget
Contacts customers to obtain, verify, and update account information when necessary
Coordinates the insurance billing function of the business office, and oversees the proper application of patient, insurance, and other payments
Performs general bookkeeping work, including accounts receivable and accounts payable
Teamwork, Reporting
Generates regular, detailed revenue and productivity reports in Epic
Establishes and maintains a tracing procedure to track and report revenues for all payor sources from provision through deposit
Manages and reports a monthly accounting of aged Clinic receivables
Creates reports to track daily closeouts of provisions by provider, to trace payor payment discounts, credits and payments, and to determine average number of days outstanding for various services by type of provision and payor
Provides or facilitates accurate reports and analysis on financial data and metrics such as cash forecasting, patient statistical information, and monthly detailed and net revenue reports
Supports preparation of quarterly reporting to St. Anthony's Board Clinic Committee, including maintenance of monthly worksheets and productivity and Revenue tools
Assists Controller and Chief Financial Officer with data analysis, Epic reporting, and preparation of reports to Board of Directors and various Committees
Minimum Qualifications
Experience with OCHIN Epic, including Business Objects, Financial Cubes, Executive Dashboard, and Tableau
Proficient in Microsoft Office, including expert use of Excel and pivot tables
Associates degree in Business or Health Care Administration, or relevant professional experience with a minimum of 2 years' of medical billing experience and HIPAA Privacy knowledge and training
Extensive knowledge of Health Information Management Systems (HIMS), HIPAA Privacy & Security and Health Resources Services Administration (HRSA) regulatory requirements.
Outstanding problem-solving and organizational abilities, and attention to detail
Excellent verbal and written communication skills
Strong ability to protect confidential information, particularly patient data, and act with discretion, tact, and professionalism
Strong analytical, detective, and problem-solving skills
Thorough understanding of policies and procedures used in Clinic accounts receivable and billing
Ability to articulate and document procedures to facilitate creation and maintenance of a "how-to" manual for Clinic billing at St. Anthony's
Bi-lingual in Spanish preferred
