Carson City's Information Technology (I.T.) Department is looking to fill a part-time position, providing office support for the Department. This employee will perform clerical tasks including processing accounts payable.
This is an FLSA non-exempt, part-time position, not to exceed 1,039 work hours between July 1st and June 30th each year. Employees in this position will perform a variety of clerical duties for the Carson City Information Technology (I.T.) Department located in Carson City, Nevada. Duties include but are not limited to, data entry and retrieval, filing, typing, records storage, records management, the creation of other correspondence and reports. This position requires the ability to maintain confidentiality and provide excellent customer service. Hours and work days are flexible within normal Business hours M-F 7am to 5pm but are expected to be consistent from week to week.

  • Greet and assist visitors with routine matters.
  • Answer telephone, route calls, and take and relay messages.
  • Respond to requests for information.
  • Type, proofread, and distribute correspondence, forms and reports.
  • Enter and retrieve information from an automated data system.
  • Maintain and update filing and/or records systems, mailing lists, and other specialized record keeping information.
  • Maintain and monitor office and/or specialized supplies and related equipment.
  • Review all work for accuracy and completeness.
  • Maintain confidentiality of all information.
  • Photocopy, collate, and distribute reports and documents.
  • Maintain data and formulas in spreadsheets.
  • Sort and disseminate mail to appropriate staff and office.
  • Prepare and distribute a monthly newsletter.
  • Prepare correspondence and reports.
  • Operate a variety of office equipment, i.e. computer, fax, copier, sorter, folding machine, postage machine, and etc.

Typical Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education and Experience:
Equivalent to a High School education or GED; AND two (2) years of clerical experience; OR an equivalent combination of education, training and experience as determined by Human Resources.
Knowledge of:

  • General office practices and procedures.
  • Chronological, alphabetical, and numerical filing procedures.
  • Data entry and verification procedures.
  • Proofreading procedures.
  • Excel, Word and PowerPoint.
  • Creating purchase orders, paying invoices, and processing P-Cards.

Ability to:
  • Answer telephones and take accurate messages.
  • Proofread documents for accuracy and completeness.
  • Maintain confidentiality of information.
  • Operate a variety of office equipment including personal computers, facsimile machines, photocopiers, scanners, postage meters, and calculators.
  • Perform basic arithmetic: addition, subtraction, multiplication, division.
  • Understand account balances for budgets, projects and contracts.
  • Communicate effectively, both verbally and in writing.
  • Read and follow instructions.
  • Establish and maintain interpersonal and cooperative relationships.
  • Provide excellent customer service.

SUPERVISION RECEIVED AND EXERCISED:
Under General Supervision - Incumbents at this level are given assignments and objectives that are governed by specifically outlined work methods and a sequence of steps, which are explained in general terms. The responsibility for achieving the work objectives, however, rests with a superior. Immediate supervision is not consistent, but checks are integrated into work processes and/or reviews are frequent enough to ensure compliance with instructions.
PHYSICAL DEMANDS & WORKING ENVIRONMENT:

Mobility to work in a typical office setting, use standard office equipment and stamina to sit and/or stand for extended periods of time; strength to lift and carry up to 20 pounds; vision to read printed materials; and hearing and speech to communicate in person or over the telephone; exposure to traffic conditions and external environment when traveling from one office to another.

Supplemental Information

CONDITIONS OF EMPLOYMENT:

  • Continued employment is contingent upon all required licenses and certificates being maintained in active status without suspension or revocation.
  • Any City employee may be required to stay at or return to work during emergencies to perform duties specific to this classification or to perform other duties as requested in an assigned response position. This may require working a non-traditional work schedule or working outside normal assigned duties during the incident and/or emergency.
  • Employees may be required to complete Incident Command System training as a condition of continuing employment.
  • New employees are required to submit to a fingerprint based background investigation which cost the new employee $48.25 and a drug screen which costs $36.50. Employment is contingent upon passing the background and the drug screen.
  • Carson City participates in E-Verify and will provide the Social Security Administration (SSA) and, if necessary, the Department of Homeland security (DHS), with information from each applicant's Form I-9 to confirm work authorization. All candidates who are offered employment with Carson City must complete Section 1 of the Form I-9 along with the required proof of their right to work in the United States and proof of their identity prior to starting employment. Part-time employees are limited to working no more than 1,039 hours in any fiscal year, July 1 through June 30. Part-time employees are not eligible to receive paid leave (including pay for not working on holidays), PERS retirement, or medical/dental/vision/life insurance. Nevada does not have a state income tax. Part-time employees do not contribute to social security; however, they must contribute 7.5% of their gross pay into a FICA Alternative Plan and are also responsible for paying the 1.45% Medicare tax. Part-time employees are covered under the City’s worker’s compensation program.
