Arc3’s CO2 division supplies CO2 and nitrogen gases and generation systems to customers from Delaware to Florida.
Job Summary
The Claims Coordinator and Safety Generalist is a full-time position within Arc3’s Safety and Compliance Department. The primary purpose of this role is to facilitate all Workers' Compensation, Motor Vehicle Accident, and General Liability claims processing for Arc3 Gases. This role will enjoy strong support from Arc3’s insurance broker, outside claims adjusters, Arc3’s in-house lawyer, and the rest of Arc3’s Safety and Compliance Team. Arc3 currently has 31 open claims and averages 15 new claims per month, most of which are minor claims. The typical claim resolves in three to six months. This leaves time to engage in a wide variety of Safety Generalist duties. Therefore, the secondary purpose of this role is to act as a Safety Generalist, assisting the Safety and Compliance Team with a variety of administrative functions, as needed.
Claims Coordinator Responsibilities
- Receive, enter, process, and proactively manage to conclusion all General Liability, Motor Vehicle Accident, and Workers’ Compensation claims.
- Ensure all claims are processed and managed in accordance with Arc3 Gases’ and outside claims adjusters’ policies and procedures and regulatory agency requirements (state workers’ comp, OSHA, DOT, etc.).
- Create and maintain detailed records of all claims, including documenting and compiling all actions taken and communications with others.
- Communicate with claimants, adjusters, and other stakeholders to provide information, updates, and instructions in a professional and timely manner.
- Working with others, investigate cause of accidents to determine preventability and non-preventability and seek corrective actions to prevent reoccurrence.
- Ensure internal incident investigations are accurate, complete, and compliant; follow up with respective partners as needed.
- Determine panel physician requirements and work with employees on selecting panel physician on non-emergency workers’ compensation claims.
- Ensure continuous communication with injured claimants regarding claim status and opportunities for light-duty work.
- Work with Arc3 employees at all levels of the company to continually improve Arc3’s Return-to-Work process.
- Timely prepare leave of absence and return-to-work letters and notify HR and Payroll whenever an employee goes on leave or returns from leave.
- Coordinate, manage, and resolve minor General Liability, Motor Vehicle Accident, and First Aid claims that Arc3 does not report to its outside claim adjusters.
- Coordinate response and claims management for any claims litigated against Arc3.
- Generate monthly reports on claim metrics, performance, and outcomes for management and other stakeholders.
- Review and audit claim files to ensure accuracy, consistency, and compliance with established guidelines.
- Work with local law enforcement following any criminal incident on company property (larceny, break in, property damage, etc.).
- Handle other administrative tasks for the Safety and Compliance Team as requested, and perform other duties as assigned.
Safety Generalist Responsibilities
- Continuously improve Arc3’s Safety and Compliance functions following company policies, industry standards, and best practices.
- Audit Arc3’s locations and processes to confirm that safety awareness activities are continuously occurring and to ensure compliance with regulations and Arc3 policies.
- Prepare Safety and Regulatory Compliance standard operating procedures and training materials.
- Respond to external audit requests and agency requests for information.
- Modernize Arc3’s Safety and Compliance administration by leveraging technology, automation, and best practices.
Qualifications
- Must have at least two years of prior claims coordination experience in at least one of the following areas: General Liability, Motor Vehicle Accidents, or Worker’s Compensation.
- At least two years of prior Safety Generalist experience preferable.
- Must have a High School Diploma or equivalent; bachelor’s degree preferable.
- Requires advanced communication skills, including the ability to review documents for content, structure, and accuracy.
- Excellent organizational and time management skills are required, as well as the ability to multi-task effectively in dynamic environment.
- Must handle confidential information with discretion, and sound judgment.
- Possess a passion for providing excellent customer service to both internal and external customers.
- Self-starter who can work independently with minimal supervision preferable.
- Strong interpersonal skills, professionalism, and integrity preferable.
- Experience with Microsoft Office (Outlook, Word, Excel, PowerPoint) is required.
- Experience with claims management software is required.
