Policy Statement and Job Description for the Church Office Manager

The Constitution of the Red Oak Christian Church (Disciples of Christ) provides for the hiring of a part-time Office Manager to keep records pertaining to the membership roll of the congregation. There are many other tasks which are a necessary part of the Church Office. The tasks will change from time to time according to the progress and needs of the congregation. The following guidelines are to be used as a description of the work to be performed by this paid staff member as a benefits and considerations statement which that employee is to receive.

The Office Manager shall be a high school graduate and shall have adequate training in all of the skills necessary for filling this position. The following items pertain to the effectiveness of the person holding this position and will therefore be followed as a guide.

1. Appearance shall be neat.

2. Attitude shall be cooperative and suggestions and criticisms should be received graciously.

3. Accept responsibility for every task done.

4. Maintain pleasant, considerate and tactful attitude with every person contacted in person, on the telephone or through the internet.

5. Receive all telephone calls unless otherwise instructed and relay messages to the proper persons immediately and accurately.

6. Be helpful in organizing the appointment schedule of the minister as requested and assist in scheduling the use of the building facilities so that conflicts are avoided whenever possible.

7. Endeavor to be helpful and considerate to all, attempting at all times to be enthusiastic and positive about the church. Direct persons to discuss personal problems and needs, particularly if they are part of the Minister’s concerns for the church and congregation, with the Minister.

8. Observe strict confidence in all matters that become known as duties are performed, whether concerning personal problems of members of the congregation or staff members of the church. Personal conflicts should be brought to the attention of the Minister.

9. Keep the office attractive and in order. Accurate and prompt filing is an important duty of an Office Manager. Difficulty with job and work conditions should be brought to the attention of the Minister.

10. Organize work, doing first things first, while accepting urgent tasks assigned by the Minister. Schedule is to be arranged with the Minister for the convenience of those being served. Office hours are to be made known to the congregation. The hours should be posted on the door of the office.

11. Have a working knowledge of Microsoft Word and Excel and familiarity with data base entry.

The salary for this position is $15.00 per hour. The rate of pay will be reviewed periodically by the Church Board to determine if a salary adjustment is needed.

During the first year of employment, up to one week of vacation may be taken without pay. After the first year, the employee will receive one week of paid vacation. After five years employment two weeks of vacation will be awarded. Twenty hours of sick leave will also be given after one year of employment. A maximum of forty hours of sick leave may accumulate.

The Church Office will be closed for these holidays and the Office Manager will not work when the holiday falls on a regular workday or is observed on a workday and will be paid:

New Years Day

Independence Day

Martin Luther King, Jr.’s Day

Labor Day

Easter (1 day)

Thanksgiving (2 days)

Memorial Day

Christmas (2 days)

Two weeks notice shall be given for termination of employment by either the Church or the Office Manager. In the event the employer, Red Oak Christian Church, desires to give notice, the Minister shall act in this capacity. When a vacancy exists in this position it is to be filled by the action of the Local Board after applications have been taken, interviews granted and an acceptable candidate has been found.

All work is to be assigned to the Office Manager by the Minister. When ministry teams, fellowship groups, classes and organizations of the church have secretarial work relating to the program of the church and request help from the Office Manager, the work is to be done only if time is available during the usual work schedule. If the work requires more time the Minister shall ascertain if the work can be accomplished.

Decisions concerning details and policy to facilitate the satisfactory operation of the Church Office are to be made by the Minister utilizing good judgment and with the sincere desire to act in the best interest of all persons involved.

It is preferred that no member of the congregation be employed in this position.
