SUMMARY
Under the direct supervision of the Scheduling Manager, the Scheduling Coordinator is responsible for the timely, efficient and accurate development, implementation and evaluation of all assigned Provider and Support Staff schedules. This person will provide consistent, fiscally responsible schedules based upon scheduling best practices. This includes generating, managing and updating schedules while making adjustments as needed according to ratios, call-ins, and pre-planned leaves of absence. This job consists of a hybrid work schedule, work-from-home and in-office setting.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Responsible for the development, management and updating of support staff scheduling templates utilizing the scheduling software system. This will include day-to- day monitoring and real-time adjustments as a result of pre-planned vacations, call offs, shift trades and schedule conflicts.
- Anticipates staffing needs based on expected provider productivity, staffing ratio, staffing skill mix and available resources.
- Responsible for proactively optimizing workforce productivity and minimizing vacancies and overtime by maintaining schedules in advance in accordance with established timelines. This includes submitting finalized schedules to direct supervisor for final review by the established deadline.
- Responsible for the development of weekly reports to direct supervisor and senior leadership detailing any potential scheduling gaps for the upcoming 3-month period. This should include variances, trends, and observations to mitigate potential staffing issues.
- Responsible for the development, management and updating of provider scheduling templates in the electronic record system.
- Acts as a liaison between providers, support staff and clinic management in resolving scheduling issues.
- Maintain confidentiality at all times per policies and procedures.
- Maintain ethical behavior at all times per the policies and procedures.
- Must be willing to work a flexible schedule that allows for immediate response to unanticipated absences resulting in modification of schedules to ensure adequate coverage.
- Maintain an up-to-date employee phone list.
- Complete all Core Curriculum training(s) required for this position.
- Perform all other duties as assigned.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
- High school diploma and 2 to 5 years of scheduling experience required.
- Experience with resolving scheduling coverage issues within a fast-paced environment strongly preferred.
OTHER QUALIFICATIONS:
- Current driver’s license
- Current auto insurance
- Bilingual skills (English/Spanish) a plus
- Ability to work early morning hours, late evening hours, weekend hours, and scheduled holidays
- Ability to type a minimum of 40 words per minute
