Job description

The Central Administrator and Financial Analyst manages all office activities and services to achieve maximum efficiency and cost control, whilst ensuring compliance with all regulatory and compliance standards. Assists in developing procedures and local policies for activities, such as the preparation and processing procurement /payment for goods and services, records maintenance and other VDC associated internal operations. You will manager first level escalations related to procurement and payment with Controlling and Finance Tracks, analyzes, and reports on operational costs. Assists with budgetary planning and supports the Department Head VDC as required with all other administrative duties.

In support of BMW Group's business objectives, this position requires regular attendance at a BMW office/facility with remote work capability (hybrid).

Key Responsibilities:

  • Supports National scope of VDC Operations Financial steering, forecast and budget, financial reconciliations, accruals.
  • Assists with budgetary and forecast planning and supports the Dept Head of VDC Operations as required with all other administrative duties.
  • Tracks, analyzes, and reports on operational costs.
  • Lead Woodcliff Lake based team members to achieve maximum efficiency and cost control.
  • Leads BMW Woodcliff Lake internal associates on budget management and planning.
  • IFT/Purchasing: Create Purchase requisitions, Purchase Orders, Frame Contracts perform goods receipts and communicate with vendors.
  • Reconciles all billing/invoicing for purchases and services.
  • Leads discussion for purchasing with account managers and directs vendor on process for invoice reconciliation.
  • Formulates proposals for cost effectiveness with vendor contracts and initiatives.
  • Reviews scope of contract and monitors post orders or functions within scope are delivered.
  • Facilitates and minutes vendor review meetings and escalations.
  • Develops procedures and standardizes policies for activities, such as procurement /payment for goods and services, collaborates with the five VDC admins to maintain a combined records and maintenance requirements for a standardized overview of business needs.
  • Drives topics in VDC Administrator circle meetings for improvements and shares knowledge.
  • Supervises vendor contracts.
  • Reviews financial project costs with each vendor for accuracy and delivery from a financial steering and process perspective.
  • Escalates risk to Operations Manager and Dept Head.
  • Coordinates various onboarding activities for service vendors and contract workforce associates if applicable.
  • Supports Department Head in administrative duties related to facilitation of daily approvals, include SRFs, IDAS, Elan, expense reports for leadership level of VDC and Operations Manager, WUSS, email folder management, Prima approvals, etc.
  • Document and distribute minutes for facility meetings and workshops.

The pay range for this role is: $74,831.00 - $87,642.00.

The selected candidate's education, skills, experience, and location will be used to determine the final salary offer. All pay ranges are based on a full-time work schedule. This statement is in accordance with state and local pay disclosure requirements.

  • Bachelor's degree or equivalent work experience
  • 4 years as administrative or operations experience i.e. ( performance reporting (KPIs), purchasing and accounts payable procedures, general clerical duties, health and safety administration, training compliance, budget preparation /tracking, distribution logistics environment, office environment.)
  • 1 year accounting and finance experience, for example P-Card reconciliation, invoices, PR to PO creation
  • 1 year minimum payroll experience, entry and tracking, error resolution
  • 1 year vendor / account management experience
  • Proficient in the use of Microsoft Office, Excel, and PowerPoint specific proficiency
  • Organization, excellent written and verbal skills, ability to communicate professionally

Preferences:
  • 1 year project lead experience
  • 3 years of Payroll experience
  • SAP time administration experience
  • SAP finance experience
  • 1 year direct report experience
