This unique role entails overseeing the bustling operations of the facility's various functions, including property maintenance, building and event coordination, inventory control, tech setup, and purchasing. As part of the team, you'll support site managers in successfully executing up to 100 programs per semester. Your responsibilities extend beyond standard tasks, involving proactive problem-solving and the presentation of innovative ideas to enhance the overall efficiency of our organization and systems, specifically in the areas of ordering, inventory, and site management.
Responsibilities:
- Oversee the day-to-day functioning of the physical plant, ensuring integrity and cleanliness.
- Manage maintenance staff, addressing tasks such as event setup, moving equipment, ordering, and routine maintenance.
- Coordinate with external contractors (plumbers, electricians) and research to find reliable and cost-efficient service providers.
- Attend to ad-hoc issues like leaks, dishwashing systems, and other operational challenges.
- Develop and maintain an annual building maintenance and upkeep schedule, including seasonal tasks like gutter cleaning.
- Establish and maintain efficient inventory systems, ensuring adequate stock levels for ongoing food items and program materials.
- Collaborate with vendors for ordering, stocking, and ensuring a smooth flow of supplies.
- Establish and implement an inventory system for cataloging holiday-specific needs and sourcing specific products.
- Analyze and review purchasing processes with vendors during the summer months for continuous improvement.
- Manage relationships with vendors, ensuring clear communication and accountability.
- Coordinate two main product delivery trips: one from Scranton, PA, for poultry and another from New York for bread, fish, and specialty items.
- Support the team in successfully executing up to 100 programs per semester, requiring detailed event ordering and space coordination in advance.
- Ensure smooth pre-event and post-event operations, anticipating and addressing potential spatial challenges.
- Oversee setups for events, including tables and chairs, and manage the logistics of guest accommodations.
- Efficiently manage the inflow and outflow of items in the eight different storage areas, maintaining an organized inventory of crafts, paper goods, etc.
- Oversee security scheduling in collaboration with the police and coordinate student check-ins, ensuring a secure event.
Qualifications:
- Proven experience in property/building management, inventory control, and purchasing.
- Minimum of 2 years of experience utilizing Excel for detailed information, reference, and historical data.
- Familiarity with inventory and purchasing programs is a plus.
- Strong organizational and multitasking skills, with the ability to thrive in a fast-paced and dynamic environment.
- Excellent communication and interpersonal skills to liaise with vendors and staff.
- Ability to work extended hours during busy periods and flexibility to accommodate the organization's unique needs during peak season.
- Physical capability to lift objects as needed for event setup and inventory management.
- Flexible scheduling is required, with the ability to work part-time (half the regular hours per week) during June and July and transition to full-time plus (including additional hours as needed) during the busy season from mid-August to the end of December.
