Job description

This position has the primary responsibility to manage and maintain the loan closing process by collecting and analyzing loan information. In addition, the goal is to provide a great client experience by producing error free due diligence and documentation up to $1,500,000. Responsibilities include ensuring adherence to policy and procedures and maintaining the highest standard of quality for our loan documentation. These functions performed by this team are critical to protecting the company from regulatory and credit risks. This position works directly with the Account Officer to provide expertise in discussions with the client regarding information and procedures for a timely loan closing. This position also serves as the primary contact in engaging Title Companies including ongoing communication to provide an excellent customer experience. The ability to review approvals generated by the financial solutions and Commercial Solutions units utilizing the Underwriting System. Independently reviewing the supporting documentation to accurately determine the required due diligence. Also to ensure proper documentation is collected and ultimately prepare error free loan documents. Additional duties include establishing ticklers for critical dates, collecting outstanding legal documents and facilitating resolutions including responding to exception reporting. The position requires the ability to work with Underwriters, the Sales Force, external Clients and external vendors including closing agents, title companies and attorneys. to provide a complete Underwriting package. Also, works closely with the Account Officer, Underwriting, and Portfolio Management to ensure that policy and procedures are followed in each transaction.

Essential Job Responsibilities__________________________________

1. Manages/controls the entire due diligence process for all decisioned loans. Reviews the Standard Loan Conditions on each approved loan and orders the appropriate supporting information i.e., property reports, floods, EDR's, etc.

2. Assists the Account Officer in managing the due diligence and closing process by the following:

a. Serves as a secondary contact for the client to answer questions regarding the status of the loan closing

b. Displays the ability to discuss with the client documentation requirements including why items are needed

c. Alerts the Account Officer and client on any potential issues as they arise including possible solutions

3. Reviews that all due diligence complies with the terms, conditions, position of collateral, etc. of the loan approval, reviews all documentation for accuracy, alterations, legibility and acceptability per the loan approval and takes action to resolve any discrepancies to ensure the Credit quality of the decision. Demonstrates ability to apply Compliance guidelines to the due diligence process, (i.e. Reg H, Flood)

4. Responsible for the entire due diligence and closing process up to $1,500,000 in aggregation.

5. Key employee to drive the closing process by working with with the Underwriters, Financial Solutions Center Managers and Business Solutions Specialists (BSSs) in preparation of Commitment Letters, Title Policy Engagement Letters and to ensure a complete package is received in accordance with all conditions of the loan approval and by resolving any internal issues by providing administrative support, while utilizing the knowledge of banking products and services.

6. Coordinates loan closings by performing the following:

a. Prepares the required pre-closing documents needed for the in-house loan documentation to begin (i.e., commitment letter, application, Reg B Letter, Good Standing Searches)

b. Coordinates the ordering Property Reports and flood determination (if real estate is held as collateral)

c. Coordinates UCC Search to prepare UCC Summary and works with the Business Services Specialist to order an appraisal (if applicable)

d. Obtains all invoices, descriptions, Serial numbers, etc. if equipment is being purchased.

e. Coordinates loan closings with all necessary parties, including Loan Services, title companies, counsel, borrower's counsel, and the Wire Room, when applicable.

f. Issues attorney engagement letters and works with outside counsel to prepare the loan documents in accordance to the bank approval and remains in constant communication with the attorney and Account Officer group to meet all deadlines as well as close the loan as approved.

g. Coordinates necessary internal documents needed for the closing and funding of new loans, i.e., wire instructions, wire form, upload documents, Disbursement Authorization, etc.

7. Ensures Service Level Agreements are met with regard to client service for both internal and external clients

8. Establishes ticklers for critical dates, outstanding documents and facilitating resolution including responding to exception reporting.

9. Ensures any/all exceptions are signed off on by manager

10. Prepares and reviews loan packages and ensures all deficiencies have been resolved.

11. Prioritizes workflow in a fast-paced environment to meet client expectations

12. Reviews data entry in the underwriting system to ensure error free documentation and upload processes.

13. Utilizes Laserpro to produce error free Loan Documentation. Expectation of the position is a <1% error rate.

14. Demonstrates the ability to prepares documentation for all loan types.

15. Processes Turndown and Withdrawn loans as well as prepares declination letters as needed.

16. Strives to provide extraordinary customer experience by controlling and efficiently advancing the loan through the workflow from decision to booking.

17. Monitors adherence to bank policies and procedures within the operations area and takes appropriate action to correct improper activities and deficiencies, and informs other team members of changes, as directed by the department manager.

18. Provides coaching to the branch staff as needed, on loan concerns within the operations area of responsibility.

19. Provides operational support (all other duties as assigned) throughout the loan process to the department manager, operations manager, underwriters, portfolio managers, and internal clients of the department.

Bona Fide Occupational Qualifications___________________________

1. Associates Degree with a minimum of a High School diploma. Equivalent experience with a minimum of two (2) years of related experience within a financial industry or Paralegal experience is required.

2. Proficient in typing, knowledge of Microsoft Office software, reading, writing and grammar skills, analytical or mathematical skills, and communications and interpersonal relations.

3. Knowledge of compliance regulations related to the position is preferred.

4. Strong organizational skills and attention to detail are also required.

5. May be eligible for telecommuting.
