The Office of University Risk Management is responsible for affirmative control and minimization of risk, promoting a strong proactive loss prevention program, and using aggressive leading edge concepts to insure the safety of students, employees and others as well as protecting the assets and income of each system campus.Position Summary:This Business Services Professional in University Risk Management (URM) provides key administrative and program support to all URM System staff and the embedded risk management teams at the University of Colorado (CU) campuses to assist in an effective consolidated risk management program. The position requires sustaining a high level of confidentiality because of the work being performed. The Business Services Professional demonstrates professional customer service while addressing telephone and email inquiries from claimants, campus representatives, attorneys, and other parties. They work cooperatively with many offices and departments at the CU campuses to analyze incoming incident reports and ensure the accuracy of claims data while being cognizant of the distinctive activities of a public research university. The expectation will be that the Business Services Professional can serve as the customer service resource for University Risk Management and making a positive contribution to customer satisfaction and constantly striving to improve service to internal and external partners.
Once established in the role the position may have remote privileges but will have on site duties at 1800 Grant Street the CU System main office.

This position is exempt from the State of Colorado Classified Staff System and reports to the Director of Finance and Administration.

Where You Will Work:This position is approved for an onsite work arrangement. This position will require an in person arrangement at initial time of hire, but a hybrid work arrangement can be discussed in the future. Travel to the campuses is required as needed. Duties and Responsibilities:

Risk Management Program Support

  • Analyzes incoming incident reports, determines the type of claim, and identifies or locates other pertinent data for entry in the Risk Information Management System (RIMS). Works with all customers and partners to ensure accurate claims data is obtained and entered in a timely manner.
  • Processes all claimant and vendor payments to include URM check printing process and verification that all payments meet URM audit guidelines in coordination with Business Operations Senior Professional
  • Performs all responsibilities with the traits and qualities detailed in the CU URM Mission.
  • Provides system-wide support to each campus risk management department and staff to include:
    • Maintain filing of Certificate of Insurance (COI) for vendors
    • Issues CU Certificate of Insurance based on Campus guidance or contract requirements. Assists with distribution of renewal COIs requested by CU Campuses.
    • Supports Campus presentations of various programs to departments.
    • Assists Intercampus Committee for International Travel (ICIT) URM Chair and Campus Risk Management teams in international travel support. This may include:
      • Provide System-wide support among URM, each campus risk management department, campus study-abroad department/office of international affairs/global education/export control regarding safety and compliance matters pertaining to international travel and compliance matters.
      • Research and communication of travel advisories , development of CU's "higher-risk destination" list and communication of updated list to all customers and partners.
      • Coordinate system-wide Intercampus Committee on International Travel (ICIT) meetings and agenda development.
      • Maintain meeting schedules, minutes and action items.
      • Maintain and update URM International Travel webpage.
      • Facilitates communication for Chair among all ICIT members to include; campus international/study aboard/global education offices, export control, URM and University Counsel committee members.
      • Attends, participates, and supports in campus International Risk Management Committee meetings as requested.
      • Understands URM International resources, including web-based applications and assists in researching and monitoring international travelers when needed.
  • Collaborates with associates within URM for the development and implementation of policies and procedures that support an overall University strategy to manage the cost of providing asset and income loss protection and risk financing.
  • Travels to each campus, as necessary, to participate in URM and campus meetings and presentations when requested.

Administrative Support

  • Answer incoming calls, responding to questions, or directs callers to the appropriate resources while providing excellent customer service.
  • Perform document copying, scanning, and faxing.
  • Retrieve and distribute USPS mail and intercampus mail.
  • Provide operational support to URM staff at all locations with various administrative projects. This could include coordinating department meetings and internal communications.
  • Support campus departments by providing general information related to the University's risk management programs.
  • Work with each URM campus team to determine resource needs.
  • Maintain accurate claims file database of records stored at the storage facility.
  • Request pick-up and retrieval of files from the department's off-site storage facility

Additional Responsibilities:

  • Reasonable and predictable attendance is required.
  • Perform additional duties as directed.

Minimum Qualifications:

  • Bachelor's degree from an accredited institution of higher education (professional experience may be substituted on a year for year basis for the educational requirement)
  • One (1) year of equivalent experience in higher education, risk management, safety, administrative support, or insurance-related position

Preferred Qualifications:

  • Two (2) years' equivalent experience, as stated above
  • Experience in higher education and/or Colorado public entity risk management, risk management, safety or insurance-related position
  • Professional designation of Associate in Risk Management (ARM), Certified Risk Manager (CRM), or Chartered Property Casualty Underwriter (CPCU)

  • Strong interpersonal skills and excellent customer service skills.
  • Excellent oral, written, and listening communication skills.
  • Superior proofreading, grammar, punctuation, and formatting skills.
  • Knowledge of and proficiency in using Microsoft Office Suite Applications (Excel, Word, Outlook)
