SUMMARY:
This position is responsible for performing specific functions of the Building Department and requires computer knowledge of Microsoft Office programs. The individual in this position must possess excellent organizational, interpersonal, and multi-tasking skills. A primary responsibility of this position requires working in the BS&A system with emphasis on accuracy and speed. This position reports to the Village Administrator.
DAILY WORK RESPONSIBILITIES:
Answer phone calls for the Building Department and Village office. Interact with, greet, and assist the public, building contractors and other service seeking individuals as necessary.
Perform typing responsibilities for the department, including:
o General correspondence
o Building permits
o Form letters and records
Daily input into the computer that includes the following:
o All correspondence and inspection results
o Building, Mechanical, Electrical and Plumbing permits
o Enforcement violations
o Reports from various Boards, Commissions and County agencies.
o Scan old building files into the system.
Provides preliminary review of all construction applications to ensure that all required information is submitted and review the site plans for compliance with Village ordinances.
Schedule inspections and coordinate building, electrical, mechanical, plumbing, and violation notices follow ups.
Issue building, electrical, mechanical, and plumbing permits.
Process paperwork, mailing and filing for violations of ordinances and processing pictures taken of the violation. Reschedule Code Enforcement Officer for follow up on violations.
Prepare packets for the Historic District Commission and Zoning Board of Appeals to include agendas and notices of publication for the Village Clerk.
Perform bookkeeping duties which includes the following:
o Inspection payments to electrical, mechanical, and plumbing inspectors.
o Monitor Point & Pay website.
o Acceptance and release of bond payments.
o Entry of all cash receipts into BS&A software.
Send out annual business license renewal forms and tri-annual septic operating permits.
Assist Finance department with collection of annual Village taxes.
Process incoming mail.
Other duties as assigned.
KNOWLEDGE & EDUCATION:
High school diploma or General Education Degree (GED)
Computer literate
Proficient with Microsoft Word and Excel
Proficient with BS&A
Current notary within the state of Michigan or become one within six months of hire.

Customer Service: Cordial, respectful, and timely service for Village residents, building contractors, business owners, and other service seekers in the Village offices is paramount. This individual is expected to establish and maintain effective, cooperative working relationships with all other staff, council, various board members, and appointed commission members.
