Halo is looking for a Billing Specialistwho will be responsible for reviewing orders for accuracy, which entails research and resolution on pricing discrepancies and incorrect product quantity issues. They will be partnering with vendors and/or account executives regarding these inconsistencies, resulting in accurate and timely invoicing to our clients. As a crucial member of the Operations Department, this Billing Coordinator will ensure the invoicing process runs smoothly, impacting the financial operations of the organization.
Responsibilities
- Review and resolve pricing discrepancies on orders placed against vendor invoices received.
- Partners with company Account Executives regarding exceptions to orders, resolving billing issues.
- Ensure invoicing orders are completed within deadline, preventing aging account order past 30 days.
- Escalate complicated orders to leadership for rectification ensuring timely invoicing.
- Review freight charges to apply/remove from order for accurate billing.
- Prepare and update Excel spreadsheets regarding projects and workflow provided by Leadership.
- Maintain/Update ERP system regarding customer records and orders.
- Support the overall team with swing resources to ensure departmental coverage.
- Attending team meetings and providing input on trends, next step resolutions and exceptions.
- 3+ years of Billing, Accounts Payable and/or Accounts Receivable experience.
- Experience in Microsoft Word, Excel, Outlook and Teams.
- Enjoy problem-solving, and helping customers.
- Comfortable making judgment calls, and prioritizing workload.
- Excellent oral, written and interpersonal communication skills.
- Motivated by working in a goal-oriented, deadline-driven team with autonomy in how you work.
- Ability to deliver under deadlines with a high level of accuracy.
- Ability to process over 30 invoices and 100 emails daily
- Active participant in giving and receiving in appreciative and constructive feedback.
- Motivated learner that will take advantage of on-the-job training, complementary training programs, career mentorships, and stretch assignments.
Preferred qualifications
- 5+ years of experience in Billing, Accounts Receivable and/or Accounts Payable.
- Associates degree in Accounting
- Experience with ERP system (i.e. M3, NetSuite, etc.)
- Previous experience in the promotional products industry and/or freight-related experience.
