Minimum Qualifications:
Working knowledge of computers and software applications (Word, Excel, Outlook);
Ability to problem solve;
Excellent interpersonal, verbal and written communication skills;
Willingness to be flexible with time and adjust to a changing work environment;
Ability to work independenly, organize and prioritize work, be detail-oriented, understand when urgency is required and use good judgment in varied situations;
Ability to work effectively with co-workers in a team-oriented collaborative environment;
A bachelor’s degree, preferably in accounting or in a related field;
2+ years of experience in a billing or accounting department;
Prior experience with QuickBooks a plus but not required;
Prior experience with Tabs3 Billing Software a plus but not required.
Responsibilities:
Prepares and reviews invoices in customized formats as required by client and attorneys;
Proactively monitors aging of client’s unbilled fees and costs and accounts receivable for attorneys;
Reviews and edits pre-bills in response to attorney changes and requests;
Uploads and tracks invoices to a variety of online portals as required by client;
Coordinates billing and collection efforts with attorneys;
Process write-offs following firm policies and procedures;
Submit rewrites as requested by attorneys;
Supports preparation and reporting of client budgets;
Assists with identification and reconciliation of payments received;
Prepares various reports through software billing systems;
Confers with clients regarding billing deadlines, rate or billing questions and concerns with billing statements;
Gathers monthly, quarterly and annual billing and rate information, including preparing reports and statistical data as necessary;
Masters client billing guidelines and examines work for accuracy and conformity to client guidelines, firm polies and procedures;
Provide reports and financial data as required by attorneys;
Attend bimonthly meetings with attorneys to review accounts receivable, uncollected accounts, and outstanding invoices;
Observe confidentiality of client and firm matters; and
Assist with special projects as requested.
