GENERAL DESCRIPTION:
This position serves as the Communicable Disease Unit Records Management Specialist. The duties of this position include the collection, coordination, dissemination, and data entry for all STI antibiotic orders and supplies as well as TB orders and supplies, including data entry, monitoring supply inventory and entity eligibility; hepatitis test kit orders and supplies; and HIV Prevention supplies to include rapid HIV tests and entity eligibility. Data entry and tracking for all TB Prior Authorizations and payments, data entry for condom dispensers, and condom distribution. Assist Treatment Program with client data entry for CAREWare and laboratory results; entering client payments and managing client paper charts. Management of the Condom Mailer Program to include vetting all addresses, mailing, program analysis, and data entry. Invoicing, data entry, and analysis of the KnoWyo vouchers. Manage all correction prevention kit orders, distribution, data entry, and analysis. Provide data reports on a regular basis and as requested. Assist with program contracts, RFPs and MOUs. Identifies potential issues and process improvements. Maintain grant and fiscal files to assist with federal site visits. This position will maintain and update the Communicable Disease Unit (CDU) website content in coordination with other unit staff. This position will also assist with various needs throughout the Unit.

+ Communicable Disease Prevention
+ Collect, validate, and ship STI antibiotic medication orders and supplies. Track orders to include dosage, patient and entity eligibility, and shipping. Create reports and analyze data.
+ Collect, validate and ship TB medication orders and supplies. Track orders to include dosage, patient and entity eligibility, and shipping. Create reports and analyze data.
+ Collect, validate and ship hepatitis rapid test kits and hepatitis supplies. Track orders to include entity eligibility. Create reports and analyze data.
+ Collect, validate and ship HIV rapid test kits and supplies. Track orders to include entity eligibility. Create reports and analyze data.
+ Maintain adequate stock of all medications, test kits, and supplies. Inventory stock weekly.
+ Data and Records Management
+ Data entry for all medication, test kits, and supply orders.
+ Data entry for condom distribution.
+ Data entry for KnoWyo vouchers and data analysis.
+ Data entry for TB prior authorizations and payments.
+ Provide monthly, quarterly and annual reports for STI, TB, HIV, and hepatitis supplies. -
+ Communicable Disease Treatment
+ CAREWare client data entry to include laboratory results, housing updates, insurance updates, and paid services from vouchers and Medicaid claims.
+ Assist Benefits Coordinator with vouchers for client service payments as needed. This includes checking for eligibility and duplicate payments.
+ Managing client paper charts and THR data entry
+ Contracts and Unit assistance
+ As the Unit Contract Specialist, assist all programs with a contract, RFP, and MOU preparation.
+ Maintain filing system for all grants and programs as needed/directed.
+ Maintain grant files to include designated format to assist with federal site visits.
+ Assist Unit staff with travel and meeting coordination.
+ Communicate changes and updates for WDH/PHD correspondence and contracts.
+ Participate in Unit and Division projects/opportunities
+ Participates in any Unit projects as directed or approved by the supervisor
+ Participates in any Division projects as directed or approved by the supervisor
Qualifications
PREFERENCES:
Preference will be given to candidates with a Bachelor's degree in a relevant field or equivalent experience plus 1 year of work in records and data management or 4-6 years of progressive work experience in records and data management.
KNOWLEDGE:
+ Knowledge of general office management and professionalism
+ Knowledge of records management techniques
+ Knowledge of intra-governmental practices and state laws pertaining to disease reporting and data release policies
+ Skilled in Google Suite, Excel, Access, Word, and PowerPoint
+ Excellent customer service and communication skills, including proper phone and email etiquette
+ Ability to maintain and respect medical confidentiality.
+ Ability to make decisions requiring judgment and take the appropriate action
+ Ability to review data and reports for completeness and accuracy
+ Ability to develop and maintain working relationships with a variety of professional, private, and public entities.
+ Ability to work collaboratively on team projects
+ Ability to work in a flexible manner, ask for assistance when needed, work under changing program requirements
+ Ability to work independently, manage time, and meet critical deadlines
MINIMUM QUALIFICATIONS:
Education:
Bachelor's Degree (typically in Records or Data Management)
Experience:
0-1 year of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Clerk
OR
Education & Experience Substitution:
3-4 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Clerk

PHYSICAL WORKING CONDITIONS:
+ Typically, the employee will sit comfortably to perform the work, however, there may be some walking, standing, bending, and carrying light items
