About the Position
The Elections Ballot Specialist acts as a lead for the ballot proofing team to ensure that ballot text is accurate and complete. They work under the Tabulation Manager to ensure that ballot language is submitted timely; and they are responsible for creating textual and cosmetic ballot proofs for review and approval. Additionally, they work with the Tabulation Analyst Leads to complete the setup and coding of the tabulation system, testing of election equipment (pre & post), and assist with end-of-day and end-of-election reporting building.

We Require
  • Three years of experience in performing office, administrative, and clerical duties
  • High School diploma or GED
  • An equivalent combination of post-secondary education and/or experience may substitute for the minimum requirements on a year for year basis

The selected candidate must successfully complete the next scheduled Secretary of State Election Office Certification training and must maintain an active certification throughout employment. Additionally, the selected candidate must be registered or eligible to register to vote in the state of Arizona; must complete a signature comparison class; must possess, or have the ability to obtain by the time of hire, a valid Arizona driver's license; and complete a thorough background screening.

Job Contributions
  • Works with the Tabulation Manager, Tabulation Analyst Leads, and vendors on the set-up and coding process of all tabulation equipment and results loading which includes accessible ballot marking device (BMD) set-up, precinct-based tabulators and central count tabulators
  • Acts as lead in the testing of election equipment, which includes marking test ballots, performing manual testing of equipment, loading and testing of in-house supported software applications
  • Performs end-of-day tabulation reports that include final and end-of-elections report building for the canvass
  • Assists with Pre and Post-Election Logix & Accuracy (L&A) testing performed in-house, the hand count audit batch tabulation preparation, pre-election setup of electronic voter check-in equipment, and post-election maintenance on all tabulation equipment
  • Serves as backup to the Tabulation Analyst Lead responsible for creating and sending data files to vendor for early voting packets (mailing and verification files). Responsible for checking the accuracy of the data files
  • Responsible for coordinating with jurisdictions to collect ballot language and to create the textual and cosmetic ballot proofs for review and approval by the jurisdiction
  • Acts as a lead for the ballot proofing team
  • Acts as shift lead during the ballot tabulation and assists Tabulation Analyst Leads with the setup and management of the adjudication and duplication systems and processes. Manages temporary staff serving on citizen boards
  • Provides assistance to other divisions within the Elections Department as needed

Working Conditions
  • Extensive mandatory overtime during the Primary/General election cycle
  • Must be able to lift and carry 40lbs and ability to move 80lbs
  • Manual lifting and moving of election equipment up to 40lbs
  • Position requires standing all day while operating electronic tabulation equipment during the election cycles
  • Use of a pallet jack
