Job Description:
The Executive Director of Farmingdale's Auxiliary Services Corporation (ASC) reports to the ASC Board of Directors. The ASC is a closely held related entity that operates for the sole benefit of the College and its students, faculty, and staff. The Director will be the ASC liaison to the College, working closely with the Assistant Vice President for Finance and Controller as to how the ASC can best support the College. The ASC campus operation manages the contracts for the college bookstore, campus dining services including meal plan and catering services, snack and beverage vending, resident hall laundry, pouring rights, and the campus shuttle program.
In supporting the mission of the College, the Executive Director is responsible for providing leadership and comprehensive planning for all administrative and fiscal operations of the corporation, working closely with contracted vendors, departmental directors, staff, and the college community. The Executive Director works with campus constituents and outside contractors to develop fiscally responsible and successful business activities that generate revenue while providing hands-on leadership managing the regulatory, fiscal, and business affairs of the auxiliary operation. The Executive Director is also charged with integrating ASC services and operations with the College's mission and strategic plan.
Specific duties include:
Administrative
  • Act as the campus liaison for all contracted vendors. Responsible for maintaining the vendor relationship, coordinating each vendors' operations with other campus departments, and working with contracted vendors to develop program initiatives and improvements as applicable to each subcontracted activity (i.e. Dining - meal plan program concepts, marketing dining services, website, equipment purchases, negotiating annual meal plan rates; Bookstore - industry initiatives and program adoptions, Brightspace integration, inclusive access program; Vending - new machine technology and machine location identification; Laundry - coordination with fire marshal to ensure compliance with safety code).
  • Formulate standard operating procedures for the overall operation of all functions and services provided by the corporation and its contracted vendors.
  • Oversee for the development and implementation of all personnel policies, procedures and practices, including hiring and removal of employees as authorized by the ASC Board of Directors and in accordance with appropriate policies.
  • Maintain employee benefits program, including health insurance, retirement, and interact with actuary to ensure compliance with OPEB GASB 75.
  • Maintain the insurance program for ASC (commercial property, liability, directors and officers, etc.).
  • Responsible for contract oversight and renewals, including the development and execution of Request for Proposals, all contract negotiations, and contract compliance.
  • Establish and maintain a system of internal controls to ensure that the ASC operates in a manner that complies with ASC bylaws, and all applicable FSC and SUNY policies and procedures.
  • Prepare all reports required by law, the Board of Directors, SUNY and FSC.
  • Coordinate ASC Board meetings in conjunction with the board chair.
  • Serve on University-related committees and task forces, as requested, to help provide quality educational experiences for its students.

Financial Management
  • Prepare and submit an annual budget for the corporation, including supplemental schedule for ASC program funding and support, to the ASC Board of Directors, the President and Executive Vice President and CFO of the College, the State University of New York (SUNY), and any such other reports and information as may be requested.
  • Maintain accounting records in accordance with standard accounting principles as outlined in the Uniform Accounting System for Auxiliary Service Corporations.
  • Oversee the preparation and administration of all unit budgets including revenue and expenditure forecasts and work with departmental heads and contracted vendors to ensure budgets are managed appropriately.
  • Keep the ASC Board Chair, Treasurer, and the AVP for Finance & Controller informed of the financial transactions of ASC, consulting before execution of any non-routine transaction(s).
  • Ensure independent audit requirements are followed.
  • Ensure investment reviews occur with the investment broker and ASC Board of Directors at least annually.
  • Maintain Agency account in compliance with SUNY regulations.
  • Be the fiscal agent for the following campus entities: Student Government Association, Farmingdale College Foundation, Alumni Association, Broad Hollow BioScience Park, the Farmingdale State Development Corporation, and Trust and Agency Custodial Accounts (primarily student clubs). Responsible for annual administrative agreement with each entity and providing services including participating in annual audits, processing revenue, processing purchases, QuickBooks entries, providing monthly general ledger reports, and advising entities on new SUNY or State regulation as applicable.
  • Responsible for all tax reporting, including payroll forms 940, W-2, 1096/1099; corporate forms 990, Char 500; Affordable Care Act forms 720, 1094, 1095; annual reporting to Integrated Pension for discrimination testing and preparation for form 5500; and communicating TIAA annual plan disclosure documents.

Leadership and Strategic Planning
  • Develop and implement a strategic plan that addresses short- and long-range operational outcomes and is integrated with Farmingdale State College's mission and strategic plan.
  • Work closely with departmental directors and/or managers in the development of such plans, as well as with students and other campus constituents.
  • Evaluate the current state of operations at the ASC and create a strategy to modernize the operation.
  • Consult with the ASC Board of Directors and with the Assistant Vice President for Finance and Controller on a regular basis in the development and progress of strategic plan goals, objectives, and planned outcomes.
  • Ensure appropriate technology plans and support are in place to integrate records with the College, as necessary.
  • Ensure that a culture of serving the College and the students is at the core of all ASC operations and decisions.

Management and Supervision
  • Provide hands-on supervision of contracted entities and the ASC team.
  • Provide leadership that is engaging, visionary, and supportive of all employees.
  • Responsible for the development and management of all staff (regular and contractual, exempt and non-exempt). Assess training and professional development needs of the staff with departmental units and develop initiatives to enhance employee skills.

Requirements:
MINIMUM QUALIFICATIONS:
  • Requires a minimum of a bachelor's degree in business administration, finance, accounting, hospitality management, or a related field.
  • Five or more years of experience in fiscal planning, marketing, retail, customer service, and team building.
  • Ability to work independently, communicate effectively, and provide excellent customer service.
  • Strong accounting and financial acumen.
  • Computer skills in the Microsoft Office Suite.

PREFERRED QUALIFICATIONS:
  • Experience working in higher education or managing a non-profit.
  • Five or more years of supervisory or management experience.
  • Completion of graduate work, degree, or certification in a related field of study (such as an MBA, CPA, etc.)
  • Experience operating a bookstore and/or food service program.
  • Profit and loss responsibility of at least $5M.

Additional Information:
This is a full-time ASC position.
