Who we are:
The Proposals & Marketing Operations (PROMO) team nurtures new business relationships and helps to strategize/solve requests that come from client prospects. They continuously look to market our agency brand to build awareness, show differentiation, and stay top-of-mind in the market. They put their problem-solving skills to use in the answering of capabilities requests, RFIs, RFPs, and pitches. This is a fierce, passionate, and high-profile team with outstanding organizational skills and the drive to juggle many new projects and ideas at once.
Who you are:
Support all new business opportunities internally from inquiry and introduction, qualification/assessment, courtship, selling support, pitch response, and transition to inline:
- Manage capabilities presentations, RFIs, RFPs, and pitch process for new business prospects across PV&H
- Assist in business development resource maintenance and organization
- Provide input on innovative and fresh ways to reach and obtain new clients as well as optimize internal processes to reach maximum efficiency and productivity
Essential functions of the job include but are not limited to:
Project Planning/Management:
- Coordinate and collaborate with all relevant departments and shared service teams based on the project and deliverables at hand
- Develop the "pitch on a page"/kickoff form and hold teams accountable to next steps and deadlines noted within the timeline you developed
- Ensure information and documents are saved and transferred to participating teams, and opportunities are tracked appropriately on status reports and hot sheet
- Keep a steady pulse on your assigned new business initiatives and opportunities across Precision Value & Health
- Roll with the punches—if necessary, be readily available to provide alternative and viable solutions to ensure project stays on track
Meeting Management:
- Work with appropriate development team members to schedule internal meetings (kickoff meetings, strategy sessions, rehearsals, etc.) and capture detailed notes/recaps to share with the team post-meeting
- Close all meetings with a summary of the discussion, decisions made, and next steps
- Facilitate meetings to ensure it stays on track and on time
Project Ownership:
- Communicate regular updates and status progress to the development team
- Own the deliverable and hold all participating parties responsible for timely delivery of content and edits
- Work with teams to resolve internal and external challenges that may affect a project outcome
Precision Partnership:
- Participate in the cross-training of fellow PROMO team members as the full team gets up-to-speed on agency SOPs
- Partner with the PROMO content team to ensure the outline, shell, proposal & pitch are tracking on schedule
- Send out and track content requests as identified by the PROMO content lead
- Add input on innovative and fresh ways optimize internal processes to reach maximum efficiency and productivity – for the business development department but also for the agency as a whole, when applicable
- Participate in understanding and adopting WorkFront when it makes its way to business development and share recommendations for best use with the rest of the department
Qualifications:
- Education: Bachelor's degree
- Work Experience: 3-5 years of experience in business development, sales, or account-facing role at an advertising agency
- Skills: Microsoft office (Word, Excel, PowerPoint, Outlook)
- Preferred Skills:
- Healthcare and/or agency experience
- HTML/CSS
- Adobe Creative Suite
- HubSpot or other marketing automation platforms
- Google Analytics
- Demonstrated management skills is a growth opportunity
