Basic Qualifications
  • Bachelor's degree or an equivalent combination of education, training and experience. Major or concentration in Facilities Management, engineering, architecture or a facility-related field preferred
  • Five plus years of Facilities Management experience with a minimum of 4 years in a supervisory /management role. This experience must include:
    • Comprehensive knowledge of Facilities maintenance planning and management; staff management and development; operating and capital budgets, utilities operation and management; energy conservation; vendor and consultant management; and design and construction.
    • Knowledge of OSHA regulations, building codes, environmental agency requirements, life safety standards, etc. required.
    • Fluency with Microsoft Office suite; specifically, Outlook, Word, Excel and PowerPoint.
    • Ability to provide superior client service to all levels of the organization with diplomacy, tact, and confidence is required.

Additional Qualifications and Skills
  • Experience with Facilities Management in a higher education environment.
  • Ability to define and implement process and procedures, perform independently, and collaborate with others is critical.
  • Certified Facilities Manager and Certified Energy Manager certifications are strongly desired.
  • Functional knowledge of CAD is a plus.

Position Description
  • Oversees and supports the maintenance and operation of all mechanical, electrical, plumbing, life safety systems, and elevator systems. Develops and manages these components of the Operations budget.
  • Develops a long-term energy use and sustainability plan, including energy reporting for the Institute, and works closely with the Building Systems Manager to implement the plan.
  • Oversees all aspects of building operations including the maintenance and management of the physical plant, custodial services, contracted services, and work order and building management systems.
  • Manages a highly functioning customer service/help desk within a Facilities Management environment; develops and implements regular customer service assessments and reporting.
  • Working with the Director of Facilities Management, develops, prioritizes, maintains, and budgets a 5-year plan for operating projects.
  • Project manages and/or provides project oversight for minor construction, renovation, and infrastructure projects to ensure proper quality and that budget and time schedules are met.
  • Ensures all staff are trained in appropriate fields, standards, and policies, including compliance with all Harvard University, City of Cambridge, and Commonwealth of Massachusetts facility standards.
  • Works with the Director of Facilities Management to evaluate and project future facility needs and proposes options to achieve them; writes regular facilities and project updates for all Institute stakeholders.
  • Partners with the Director of Facilities Management in emergency preparedness, practice, and response.
  • Represents HRI Facilities on university-wide facility-related committees and subcommittees.

Supervisory Responsibilities:
  • Supervises the work of assigned staff.
  • Carries out supervisory responsibilities according to the Institute's / University's management policies, procedures, and any applicable laws.
  • Responsibilities include hiring and training, planning, and assigning work, conducting annual performance appraisals, addressing performance issues, and resolving problems.

  • Employee must have the ability to sit at a desk for a minimum of seven hours a day and complete tasks requiring repetitive use of hands; must have ability to access construction projects: climbing scaffolding, walking through construction sites, etc.; able to lift in excess of 50 lbs. and assisting others to do the same; must be available to respond to emergencies during off-hours.

Working Conditions
  • Work is performed indoors in an office environment, but significant time is also spent in buildings and on grounds, including in mechanical rooms and other spaces with difficult access.
  • The employee must be able to perform duties in an outdoor environment that includes exposure to loud noises, temperature extremes, and inclement weather conditions.
  • Travel to construction sites prior to and during construction is required. There may be limited exposure to dust, construction debris, etc.

Job Summary
The Associate Director of Facilities Management will supervise the Radcliffe Institute's physical plant operations including building operations, energy management systems, and safety/security systems to provide a safe, healthy, and comfortable environment for staff, students, fellows, and all Radcliffe affiliates. Reporting to the Director of Facilities Management, the Associate Director ensures the physical operations of the Institute meet budgetary and strategic objectives. During emergency situations and severe inclement weather, this position is designated as essential and critical to the operations of Radcliffe.
