Summary

The Associate Dean of Student Services is a vital leader responsible for overseeing student activities, counseling, advising, and disability and other related Student Services for the Downers Grove campus. Reporting directly to the Dean of Student Services, the Associate Dean of Student Services is tasked with assisting in disciplinary meetings or investigations, receiving and assisting the Dean of Student Services with Title IX complaints pertaining to students, and attending Academic Review Committee meetings and/or Student Promotion and Graduation Committee meetings. The Associate Dean of Student Services works closely with Academic Deans, Program Directors, faculty, and staff on the Downers Grove campus to holistically support MWU students through their life cycle from orientation to graduation.

Essential Duties and Responsibilities

  • Assist the Dean of Student Services with aligning all Downers Grove student activities and programs in coordination with the Student Services staff on the Glendale campus to ensure the alignment of all student activities and programs between Downers Grove and Glendale campuses. This includes coordinating efforts to promote equality in programs, shared events, and student experiences.
  • Meet with and counsel students to address any issues or concerns regarding any campus related issues that may arise.
  • Counsel students and collaborate with their Academic Dean to provide guidance and support when addressing instances of unprofessional behavior or situations where they may pose a threat to themselves or others.
  • Act on behalf of the Dean of Student Services to ensure students are successful academically, emotionally, and personally, answering emails and solving problems that may arise.
  • Provide mental health support and direction to students in all academic programs and colleges regarding students’ mental health, social well-being, and academic successes.
  • Assist the Dean of Student Services with negotiating insurance costs and needs, approving orders for supplies and student activity events, and aligning policies, procedures, and documents across both campuses.
  • Communicate with all students that request accommodations, answering questions from all programs and the testing center or course directors regarding accommodations.
  • Effectively communicate with students to address campus-related concerns, encompassing areas such as safety and security, immunization requirements, quiet hour policies, insurance matters, pandemic-related issues, and any other student-related concerns that may arise.
  • Support the Dean of Student Services in reviewing testing center irregularity reports, conducting investigations into cases of academic/professional dishonesty, and effectively summarizing the findings in reports to the relevant Academic Dean.
  • Receive and process Title IX complaints concerning students, actively supporting the Dean of Student Services in arranging meetings with students to investigate and document all relevant circumstances associated with the complaints.
  • Provide assistance, as needed, to the Dean of Student Services with Title IX hearings.
  • Review positive student drug screenings and work with the Dean of Students and the Academic Deans to facilitate additional drug screenings for students who consistently test positive. Support the Deans with arranging substance abuse assessments conducted by trained professionals.
  • Attend Student Promotions and Graduation/Academic Review Meetings and ensure that committee members are following the course catalog of the matriculation year of the student.
  • Oversee and coordinate New Student Orientation, update the orientation canvas course each year, partner with colleges/programs to create orientation programs, and assist the Dean of Student Services with composing welcome and orientation letters.
  • Assist the Dean and/or chair of the Disability Services Committee with student accommodation requests, communications, and meetings.

Supervisory Responsibilities

This job supervises the Student Services administrative assistants, the Manager of Student Counseling, the lead person for Student Activities and the Wellness Recreation Center, as well as the Manager of Student Housing.

Education and/or Experience

A terminal degree (Ph.D., Ed.D., or other related healthcare doctorate degree). Must have a minimum of 5 years of relevant experience in a higher education setting, including previous academic teaching and advising experience. Knowledge of federal regulations including but not limited to FERPA, Title IX, and the Clery Act, is advantageous. Excellent interpersonal, communication, crisis response, and conflict management skills are required. Working knowledge of the Americans with Disabilities Act (ADA), Section 504 of the Rehabilitation Act desired.

Computer Skills

Computer proficiency in MS Office (Word, Excel, Access, Outlook) and Adobe Acrobat required.
