We are hiring a FULL-TIME(35 hours per week) OPERATIONS ASSISTANT for our Chief Operations Officer within Catholic Charities of Buffalo, who will work primarily in our office at Saint Benedict's in Amherst.

JOB SUMMARY: Provide a variety of support services to the Operations Team consisting of the chief operating officer and senior directors, including administrative file support, email coverage, and expense and receipt reconciliation. etc. Operations Assistant will also
ESSENTIAL FUNCTIONS:
- Exemplify Catholic Charities' mission, vision, guiding principles and values. Cultivate a culture of equity and inclusion
- Communicate, comply with, promote and monitor integrity and ethical performance, consistent with Catholic Charities' Corporate Compliance, Code of Ethics, HIPAA, legal mandates & labor laws, managing contractual/funder regulations & accreditation standards, regulations, policies and procedures (e.g. COA, BBB)
- Manages the operation of the office of the chief operating officer, including scheduling and communication, verbal, written, in-person and virtual
- Assist the chief operating officer with day to responsibilities of the office, including administrative functions
- This position provides highly confidential support TO CHIEF operating officer and senior directors' team
- Prepare reports and communications on behalf of others
- Satisfactorily equip and maintain office resources - supplies, equipment, etc.
- Develop, monitor and ensure effective office processes, streamline procedures (including filing systems) and prioritize tasks
- Support program team members with program reporting, database administration, and established tracking mechanisms to ensure performance and quality standards are maintained
- Support receptionist desk coverage, answering and directing telephone calls, greeting and directing visitors to the office, referring callers to other Catholic Charities officers. Assists with other related clerical duties such as photocopying, faxing, filing and collating
- Actively participate in agency training, committees, outside workshops, conferences, continuing education classes, and in agency-sponsored and Diocese-sponsored events as relevant
EDUCATION: High school diploma or equivalent plus five (5) years of experience.
Special Requirements: Must be proficient in Microsoft 365. Travel required.
EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES:
A love for people and an ability to build positive relationships within our team is vital. Relevant office experience and/or training. Strong organizational skills, excellent written, verbal and interpersonal communication skills, ability to work independently and to accept direction required. Desire to learn and grow in the role.
ADDITIONAL REQUIREMENTS:
- Must be prepared to work a flexible schedule in order to participate in agency-related activities/events that may take place outside of typical business hours
- May require travel and agency-required level of auto insurance coverage
