SUMMARY OF POSITION
The Assistant to Deputy Director, Chief Advancement Officer will provide administrative and programmatic support to the Deputy Director and Chief Advancement Officer and the entire Advancement Department. The Associate is a key liaison to, and will work closely with, the Director’s Office and departments throughout the Museum and will interact with Trustees and donors.
SKILL AND EXPERIENCE REQUIREMENTS
- Minimum of 1-3 years of experience with relevant prior work experience
- Excellent organizational and time management skills.
- Excellent verbal, written and interpersonal communications skills.
- Flexibility and the ability to adapt to changing priorities.
- Excellent attention to detail with ability to handle multiple projects in a fast-paced environment a must.
- Ability to be proactive, use independent judgment and initiative.
- Experience or ability to handle confidential information and material professionally.
- Computer skills with knowledge of Microsoft Office Suite, and fundraising CRM products (Raiser’s Edge, Salesforce) a plus
KEY RESPONSIBILITIES
Duties may include, but are not limited to, the following:
- Work collaboratively with members of the Advancement Department to achieve and exceed annual fundraising goals.
- Assist the Deputy Director with meetings preparation and scheduling, events, travel coordination and logistical planning, preparing agendas and itineraries, confidential and time-sensitive correspondence, and tracking RSVPs.
- Coordinate Deputy Director’s calendar and departmental schedule annually.
- Assist Deputy Director in preparing data and budget information, as well as maintaining expense records for the Director and department
- Work cross-departmentally and across the organization to coordinate events, meetings, documents, essential correspondence, reporting, and other department needs as related to the Deputy Director.
- Respond to donor inquiries and other departmental requests.
- Coordinate private tours, private views, and general benefit fulfillment for donors and prospects.
- Support needs and serve as point of contact for Board of Trustees as they relate to the Advancement department and correspond with Board members and assistants.
- Support board-related meetings throughout the year, including the compilation of prospect research and meeting briefings as needed.
- Provide front line support at Advancement events, including evenings.
- Act as a liaison between the Museum and select major art fairs annually to coordinate VIP passes for donors and reciprocal VIP events at The Museum.
- Manage mailings for the Deputy Director including event invitations, exhibition proposals, exhibition catalogues, and travel programs.
- Responsible for data management and integrity, working with the department to maintain accurate donor records in the database and prospect management systems for reporting systems
WORK DEMANDS and ENVIRONMENT:
- Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
- Occasionally work may be conducted outdoors, exposure to varied weather conditions.
- Ability to work nights, weekends, holidays on occasion.
- Ability to lift at least 25 lbs.
EDUCATION:
- High School Diploma or equivalent required.
- Bachelor’s Degree preferred or equivalent work experience.

WORK SCHEDULE: 40 Hours per Week, Schedule TBD
POSITION TYPE: Full-time, Non-Exempt.
SALARY RANGE: $65,000 - $69,000 Annually
