- PARTS ORDER MANAGEMENT- DAILY
- Prepares & submits daily GM parts order.
- Reviews GM response & prepares SPAC Cases where appropriate.
- Communicates order status to Service Writers/Technicians.
- Checks in daily GM parts delivery.
- Files claim for missing/damaged GM parts.
- Receives GM Customer Special Orders/delivers parts to technicians or "Special Order Part Shelf".
- Receives all GM eCommerce Accessory Parts orders. Contacts customer/Service Writer to arrange for pick-up/installation.- TIME SPENT ON THIS VARIES FROM DAY TO DAY
- Assist the Parts Team with looking up parts for quotes for the GM shop, billing out sold parts and delivering them to the technicians, along with answering Wholesale calls.
- Supervise the staff that control the GM/Infiniti parts orders submitted through Repair Link and CCC1 to make sure they are done correctly.
- INVENTORY MANAGEMENT
- Assists with annual physical inventory for the GM/Infiniti Parts Departments.-ONCE A YEAR.
- Supervise the maintenance of the ongoing Perpetual Inventory process for GM/Infiniti to ensure the maintenance of on-hand accuracy in the DMS System.-MONTHLY
- Manage GM CORE Return process. Provides weekly list to GM, receives return labels & provides them to the Inventory Clerk who applies to returns and packages parts for return.-BI-WEEKLY
- Submit Obsolescence & Customer Special Order (CSO) parts returns using GM Return Reserve.-MONTHLY
- Coordinate RIM/GM parts return process. Ensure they are properly packaged.-MONTHLY
- Manage retail accessory display case inventory. Purchase, inventory, create part numbers, label, and set-up pricing in DMS.-TIME SPENT ON THIS VARIES
- OPERATIONS-DAILY
- Update Dealer Management System (DMS) for GM part number supersessions.
- Reconcile all purchase invoices from outside vendors, including all returns & credits and submit to accounting weekly.
- Supervise staff that accepts and set-up new Wholesale customer accounts in OE Connection/Repair Link.
- Supervise staff that set-up new Wholesale customer accounts in DMS, including price levels/tax info.

- Respond to day-to-day staff operational questions.
- STAFF TRAINING-TIME SPENT VARIES
- Assist with new employee staff training & orientation to applicable Parts Department software systems for their position (e.g. GM Catalog, CKD, X-Time).
- KPA Website - Set up new employees, identify training requirements for their position, ensure completion of required training.
- Monitor Parts staff activity for MSDS/HAZMAT compliance.
- Fork Lift/Skid Steer -Set up potential employees interested in operating the forklift and skid steer on the KPA website and take the test. Train employees with a "hands on" exercise, then certify applicable employees to use both pieces of equipment.
- MISCELLANEOUS-TIME SPENT VARIES
- Fill-in for GM/Infiniti Parts Manager, and Infiniti Parts Specifier during their absence.
- Manage Department Equipment including performing periodic inspections and ensuring routine maintenance is performed timely.
- Operate the forklift/skid steer as needed.
POSITION REQUIREMENTS:
- High School Diploma.
- Experience in an automotive parts department supervising staff and/or serving as the Assistant Parts Manager.
- Certification to train and certify staff to operate a fork lift/skid steer.Not required, but preferred.
KNOWLEDGE, SKILLS, & ABILITIES:
- Working knowledge of GM Parts Catalog, NNA net, RIM, CDK, X-Time, CCC1, and Repair Link software.
- Experience doing CORE, Obsolete, and Customer Special Order parts returns.
- Knowledge of State of Wisconsin/Federal MSDS and HAZMAT regulations and training requirements.
- Ability to work independently and exercise effective judgement in the application of department policies and practices.
- Ability to communicate effectively in oral and written form both in a group and individually.
- Ability to establish and maintain effective working relationships with other department and dealership employees, outside vendors, and customers.
- Ability to exercise tact, persuasiveness, and judgement to reach an objective and maintain goodwill.
OTHER REQUIREMENTS:
- Possession of a valid Wisconsin Driver's License.
- Ability to operate a variety of office equipment including but not limited to personal computers, calculators, cell and desk telephones, photo copier, etc.
- Ability to lift 75 pounds.
