Assistant Manager - Golf & Social Group Services

Work Mode: Remote

Location:  Kohler, WI

Opportunity

Directlymanage the Group Reservations and Golf & Social Group Services functionsincluding room, spa, golf, dining, and conference/banquet events, with acomprehensive contract for Destination Kohler to maximize revenue. The rolefunctions cohesively with the golf staff in providing personalized experiencesfor our guests, and as a partnership with each client. Manage the entire jobfamily for Supervisor - Golf & Social Group Events and Group ReservationsCoordinators.

Specific Responsibilities

  • Supervise and manage up to eight direct reports at various levels and job titles (Group Reservations Coordinators, Supervisor - Golf & Social Group ServicesGolf & Social Group Services Coordinators.)
  • Manage the coordination of daily activities to ensure that all appropriate steps of the inquiry/booking/follow-up process are executed within a timely manner and beyond guest expectation.
  • Monitor and achieve or exceed room night/revenue goals as outlined in the approved financial plan.
  • Audit resumes and reservation bookings for accuracy.
  • Assist with payroll through Workbrain for direct reports, manage attendance records and communicate policy updates and changes accordingly.
  • Administer disciplinary action as needed for attendance and performance, conduct sessions, sign, and approve, distribute to Human Resource Generalist for formal filing.
  • Interview, hire and develop direct reporting positions.
  • Monitor and drive training programs as it relates to direct report positions, ensuring onboarding is executed seamlessly and call-in group trainings are up to date for Kohler Reservation Exchange team.
  • Complete and conduct 90-day reviews.
  • Complete and conduct annual merit review sessions, rate, and score, execute salary pool distribution and communicate results, as necessary.
  • Sign up direct reports for required annual meetings/trainings, schedule and communicate expectations.
  • Meet monthly with direct reports on performance levels, coach as needed, establish goals and document details.
  • Regularly discuss development and engagement related conversations with direct reports.
  • Strategize optimizing property management system capabilities and enhancements.
  • Attend various meetings as requested by the Senior Manager - Kohler Reservation Exchange and Group Director of Revenue, including Resume and BEO meetings.
  • Understand team schedule needs, create, make approved updates according to unplanned circumstances.
  • Act as a point person for individuals within Kohler Organization to contact for information on Golf & Social Event Groups.
  • Work closely with Sales Executives, Meeting & Events Teams, and Sales Coordinators to ensure proper communications are in place related to processes and procedures.
  • Special assignment of VIP Golf & Social Groups as directed by Senior Leadership of Kohler Company Executives
  • Own and promote incentive program for direct reports including arrangements for incentive redemptions for staff and expensing for payroll deduction.
  • Attend one annual KCM course as suggested by management.
  • Other duties as requested by management.

Skills/Requirements

  • High School diploma or GED required, 2-4-year degree preferred.
  • 3+ years of work experience in customer service, preferably in Hospitality.
  • Experience in a call center or an administrative role is a plus.
  • 3+ years of work experience supervising/coaching/mentoring staff strongly encouraged.
  • Excellent oral and written communication
  • Excellent interpersonal skills
  • Strong computer skills
  • Strong critical thinking skills.
  • A passion for providing exceptional customer service.
  • Hours of Operation are Monday-Friday, 8am-5pm. Some weekends and Holidays may be required.
