To provide administrative, organizational and advocacy support for the Chief Public Policy Officer & Senior Vice President, Government Relations (SVP) and other members of the Government Relations staff in a variety of areas.

Essential Job Functions:___________________________________________________________________

  • Provide general administrative support to include receiving and responding to member requests; drafting/editing confidential and general documents, forms, reports and articles for departmental publications, etc.; coordinating schedule/travel for the SVP as needed; maintaining key distribution lists; producing and distributing minutes/notes from meetings.
  • Maintain departmental and staff lists, committee lists and rosters. This includes maintaining the department's pages on the FMI website.
  • Track department contacts with FMI members and Members of Congress.
  • Serve as the department's primary contact regarding all budget and accounting inquiries. This includes entering budgetary items into FMI's budget management system with accuracy, processing invoices and preparing and submitting expense reports for reimbursement and check requests, etc. Track division's budget information and monitor monthly accounts.
  • Maintain and update the Government Affairs page and the Advocacy Database on the FMI website.
  • Manage Hill communications and recommend ways to increase engagement using various social media platforms.
  • Serve as the logistics lead for all Government Relations and Public Affairs Committee meetings, fly-in events, and lobbying meetings. This includes partnering with the Meetings Department to plan the logistical elements of departmental events.
  • Manage the Nielsen data information requests from FMI members and staff to share congressional level data regarding FMI member operations.
  • Communicate effectively with members and state associations via email and phone.

Physical Requirements:___________________________________________________________________

  • Ability to be successful in a normal office environment requiring the use of typical business equipment (e.g., computer, telephone, copier, fax machine, etc.).
  • Ability to travel to local meetings and events to perform onsite administrative activities, as needed. There are a limited number of events that may begin or end prior to regular work hours. When possible, the person in this role will be given advance notice for planning purposes.
  • Ability to pack and unpack conference materials (up to at least 50 lbs.).
  • The person in this position will be eligible to work a hybrid work schedule Monday through Thursday requiring a minimum of two days in the office per week during that four-day period and every Friday will be a remote workday with the exception of any special meetings/events. Based on business needs, the person in this position may be required to work in the office additional days as needed.

Education, Skills, and Experience:________________________________________________________

  • At least one to two years of prior professional work experience in a similar role, internship or related field is preferred.
  • A college degree in politics, government, public policy or other relevant degree is preferred.
  • Capitol Hill experience, at any level, including internships is strongly preferred.
  • Interest in federal and state government, politics and/or the food industry is a plus.
  • Knowledge of computers and technology, including but not limited to Microsoft Office 365 including Word, Excel, PowerPoint, and Teams.
  • Strong written and oral communication skills (including editing and proofreading).
  • Experience updating webpages is helpful.
  • Strong administrative and organizational skills.
  • Excellent follow-up skills.
  • Excellent telephone and interpersonal communication skills with the ability to collaborate well with various colleagues across the organization as well as external vendors.
  • Strong customer service and team orientation.
  • Self-directed with excellent time and project management skills with an ability to organize, prioritize and accomplish multiple tasks with strict attention to detail and with minimal supervision.
  • Must have a proven track record of delivering on commitments.
  • Personal qualities must include drive, determination, flexibility, open-mindedness, and must be a team player.
