Lone Mountain Land Company (LMLC) manages the planning, entitlement, building, marketing, and sale of premier real estate communities around Big Sky, Montana. The company supports world- class operations at Spanish Peaks Mountain Club and Moonlight Basin and oversees real estate activities at Spanish Peaks, Moonlight Basin, Big Sky Town Center, and other projects in the Big Sky region.

Position Summary

Reporting to the Facility Manager, the Assistant Facility Manager supports the administration of all LMLC managed properties, including landscaping, maintenance, and tasking of the facilities team. The Assistant Facility Manager has primary responsibility for site and grounds maintenance, including contracting and vendor management. They will also be expected to work with Construction Managers to coordinate the transition of properties into the stabilized portfolio upon construction completion. This transition includes understanding project completion, the construction warranty and how that impacts the future Capital Needs of the property.

Job Duties

  • Implement/develop contracted services for maintaining all properties' exterior grounds, parking lots, walkways, and trails. This includes but isn’t limited to snow removal contracts, trash removal contracts, landscaping, and trail maintenance.
  • Engage, contract, supervise and approve invoices for all goods/services required to maintain the properties up to company and owner standards. Utilize invoice tracking software to approve invoices and ensure timely payment of approved invoices submitted by all parties.
  • Supervise approved OpEx work and CapEx site improvements, including collecting and reviewing third-party vendor proposals, workmanship quality control and final acceptance of completed work.
  • Forecast and manage replacement of major capital expense items including parking lots, sidewalks, pathways, signage, irrigation systems, etc.
  • Develop facility specific preventative maintenance programs and manage a team of individuals to enact these programs.
  • Assist the Construction Managers with the transition of recently completed projects into the stabilized portfolio.
  • Manage the work of staff including coordinating activities, maintaining standards, allocating personnel, training staff, and reviewing performance.
  • Demonstrate a positive, professional, and client-oriented attitude about the company with coworkers, tenants, clients and the public whether contact is by mail, telephone or in person. Constantly strive to improve work processes and results to better meet client's expectations.
  • Help to facilitate the sharing of best practices and continuous improvement efforts by identifying and implementing procedures to improve overall maintenance operations across the Portfolio.
  • Partake in the due diligence process for potential new acquisitions, provide professional feedback on deferred maintenance items recognized throughout the property.
  • Keep abreast of new technologies, systems and procedures related to facility management.

  • Able to think like an owner.
  • Able to read, understand and construction documents/contractor scopes of work.
  • Able to vet contractor proposals/scopes of work (including but not limited to waterproofing, roofing, painting, flooring, fire/life safety, mechanical, electrical, plumbing, façade, elevator).
  • Knowledge of tools, materials, means, and methods used in occupied multifamily residential properties.
  • Must be able to effectively communicate and work with outside contractors as they will be the main point of contact for outside maintenance projects.
  • The ability to interact with Associates and guests alike in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism, is crucial to this role.

Qualifications

  • High school or equivalent education required.
  • 2-3 years of experience in a landscaping, construction, maintenance, or property management field required.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook.
  • Must be willing to participate in a learning environment.
  • Experience working with outside HOA and property management organizations preferred.
  • Must be able to quickly adapt to effectively using new software products.
  • Must be dependable and available to work within the property on weekends, nights and/or holidays based on business demands.

Physical Demands

While performing the duties of this job, the employee is required to frequently inspect the project and may be exposed to ongoing construction and various weather conditions. The noise level in the work environment may range from moderate to loud. This position is performed in outside weather conditions.

While performing the duties of this job, the employee is required to walk and stand for; must be able to stand and exert well-paced mobility for up to 6 hours in length. The position requires manual dexterity, grasping, writing, standing, sitting, walking, repetitive motions, bending, and climbing. The employee is occasionally required to reach with hands and arms. The employee must also occasionally lift and move up to 25 pounds.
