About the Department:
The Controller's Office establishes and monitors the university’s internal control framework, collaborates with university units to establish fiscal processes, and provides guidance to academic and administrative units related to administrative policies and procedures. It maintains close working relationships with the Office of Budget and Planning, the Office of Sponsored Programs, Human Resources, and Payroll.
The goal of the Controller's Office is to provide excellent customer service and minimize costs through demonstrating consistent progress toward increasing flexibility, reducing administrative burden, eliminating “no value added” efforts, and automating transaction processing.
About the Position:
Supports the University and Director of Student Fiscal Services in the areas of accounts receivable, billing, collections, account maintenance and adjustments, internal controls, customer service, and Title IV and loan programs (including Perkins). The Assistant Director oversees the student-facing services team in Student Accounts, Cashiering and ALM to deliver exemplary service. Responsible for the implementation, expansion, execution, and daily supervision of professional support staff who assist students, both campus based and online, in navigating the orientation and financial components of their enrollment and continued success at Mason, as well as faculty and staff. Serves as the liaison with other offices; including the Offices of the Registrar and Student Financial Aid, Admissions, Enrollment Central, Orientation, Student Conduct, Residence Life, Meal Plan Office, Accounts Payable, General Accounting and Military Services. Serves as the primary point of contact and fiscal expert on questions and processes relating to Cash Handling and Virginia regulatory financial policies and procedures, as well as for academic units on questions and processes relating to the student experience, University Catalog policies and financial policies and procedures. Uses critical thinking to find and refer students to resources that allow their continued success at George Mason University. Manages risk, ensures fiscal stewardship of University resources, develops and maintains strong controls and reconciliations, and answers questions from Virginia and University auditors regarding compliance with regulations and policies.
Anticipated Salary Range: $75k - $80k
Responsibilities:
- Leadership:
- Responsible for the supervision of the student-facing services team in Student Accounts, Cashiering and ALM to deliver exemplary service;
- This position is responsible for all aspects of performance management including training, goal setting, monitoring and delivery of work efforts and providing feedback through verbal updates and written performance reviews to the teams; and
- The position will adhere to legal and university policies and procedures and undertake disciplinary actions if the need arises.
- Compliance and Financial Controls:
- Responsible for financial controls in Student Accounts processing, including refunds, exemptions, account adjustments, cashiering, bank deposits, Perkins and other loan programs, and collections;
- Enforces CAPP Manual and Virginia Code requirements in regard to past due receivables thereby managing risk and ensuring proper fiscal stewardship of University resources;
- Ensures Student Accounts and loan programs are maintained in accordance with Dept. of Education Title IV regulatory requirements; and
- Answers questions from Virginia and University auditors regarding compliance with regulations and policies.
- Student Experience/Collaboration:
- Delivers exemplary customer service to our students, including timely response to escalations and referring students to available resources that allow their continued success at George Mason;
- Serves as the liaison for the office with other student service and enrollment management offices, including but not limited to the Offices of the Registrar and Student Financial Aid, Admissions, Enrollment Central, Residence Life, Meal Plan Office, Accounts Payable, General Accounting, SSAC, and Military Services; and
- Serves as the primary point of contact and fiscal expert for questions and processes from academic units relating to the student experience, University Catalog policies and financial policies and procedures, and Cash Handling and Virginia regulatory financial policies and procedures.
- Catalog/Web/Procedures:
- Responsible for updating the University Catalog, online semester deadlines and payment information, outgoing email messages, and other Student Accounts Office procedure documents.
- Serves as contract administrator for various contracts and is responsible for staff conducting department POS and purchasing. Work to continuously improve transaction processing, systems, and reporting tools to streamline operations. Responsible for other projects as assigned.
Required Qualifications:
- Extensive and advanced customer service and compliance experience;
- Demonstrated supervisory experience;
- This position requires a solid understanding of the higher education landscape and experience helping students navigate financial systems to successfully persist in their studies;
- Advanced knowledge of Title IV compliance as it pertains to Student Accounts processing and loan programs is required;
- Knowledge of collection laws and the ability to develop aggressive collection strategies are required;
- The ability to maintain timely response rates during peak processing, from both in person and online students, is also required;
- The position requires supervisory experience and the ability to execute an innovative service plan for a diverse student population;
- Excellent communication skills are required, including the ability to deliver effective presentations to large groups of students and parent and manage difficult conversations with debtors; and
- An advanced understanding of financial controls, risk management, accounting systems and reconciliations is required, as well as student privacy law expertise.
Preferred Qualifications:
- Master’s degree in related field;
- Experience in Higher Ed; and
- Knowledge of Ellucian Banner, Touchnet Bill + Payment, or similar systems.
