The Assistant Director of External Programs implements Medill's strategy for experiential education, contributes to Medill's international engagement vision, and is responsible for strategic planning, promotion and execution of Medill-sponsored travel experiences, including course-affiliated academic travel. This position is responsible for compliance with required reporting obligations, sets Medill academic travel policies and ensures compliance, conducts ongoing benchmarking to maintain familiarity with other global journalism programs and strategies and recommends improvements to Medill's international and domestic programs. S/he will collaborate closely with faculty and administrative units throughout the school to support any experiences, events and External Programs as needed.
This position will be on-site on the Evanston campus for a minimum of two days per week, while the remaining time is allowed to be worked remotely. This remote working arrangement will be evaluated on a regular basis and may be changed based on business and operational needs. Attendance at events outside of normal business hours will be required. Occasional travel, both domestic and international, may be required.

Please note: The target budgeted salary for this position is $63,000 - $69,000 annually. Offers will be based on candidate experience and education, as well as equity within Northwestern University.
Specific Responsibilities :
Planning and Coordination
• Lead planning, coordination and execution of a portfolio of Medill-sponsored travel experiences, including international and domestic initiatives. This includes supporting the recruitment/selection process of participating students; coordinating all travel arrangements; and responding to issues that arise during travel.
Budgeting and Finance
• Manage travel program expenses for a portfolio of programs. This includes developing program budgets, expense tracking, vendor contract negotiation and working with program leaders to stay within budgets. Coordinate with the Medill Business Office, Medill Graduate Admissions & Financial Aid and Undergraduate Financial Aid on expenses, student fees and reimbursements as needed.
Communication and Outreach
• Work with various NU offices, Medill faculty members and external partners to design and coordinate travel experiences that support Medill's mission and objectives. Review offered programs annually to ensure they meet Medill standards.
• Collaborate with colleagues across the school to help advance Medill's strategic goals and improve the educational experience of our students.
Compliance and Data
• Ensure compliance with all Northwestern University policies and procedures for international travel; track data on student interest and participation. This includes coordination with the Office of Global Safety and Security, Clery reporting for student trips, and other policy compliance and mandatory reporting obligations. Responsible for collecting information from all Medill teaching locations to ensuring consistent reporting and policy compliance.
Supervision
• Supervise 2-5 undergraduate or graduate student workers, and the work of program assistant on-assignment as needed.
Miscellaneous
Performs other duties as assigned.
Minimum Qualifications:
• Bachelor's degree in journalism, communication, marketing or in higher education administration or a related field
• Experience managing global or term-away programs in a higher education setting.
• Demonstrated success working with and achieving the goals of multiple and diverse constituents.
Minimum Competencies: (Skills, knowledge, and abilities.)
• Excellent writing and editing skills.
• Demonstrated communication, presentation and interpersonal skills.
• Prior experience developing strategy for and creating international travel and/or study abroad experience in a higher education setting.
• Prior experience coordinating logistics for international travel and/or study abroad experiences.
• Superior project management, customer service and organizational skills and the demonstrated ability to manage multiple priorities and projects simultaneously on tight deadlines.
• Must be self-directed and able to work in a team-based, collaborative environment.
• Must be comfortable and highly skilled in a public facing role that serves multiple constituencies.
Preferred Qualifications:
• Master's degree in journalism, communications, marketing or advanced degree in related field.
• Demonstrated ability to create and successfully manage international initiatives for a student audience.
Preferred Competencies: (Skills, knowledge, and abilities)
• Understanding of academic program management, stewardship process, advancement cycle, and high-value relationship building and customer service.
• Experience with incident management, particularly in an international higher education program.
