Reports to: Property Management Director – Marketing & Logistics
FLSA Classification: Non-Exempt, full-time
Job Summary:
The Assistant Director provides office coverage during manager absences, supports managers with onsite functions, and assists with other departments as determined by supervisor.
· Must have 4+ years of multi-family housing management experience
Schedule & Location: A shared calendar is available for Department Heads to request assistance as needed.
· Monday through Friday, 35 hours/week
· Primary responsibility will be office coverage
· Secondary responsibility will be onsite support throughout entire portfolio
· Ability to help with other department projects when available
· This position is not remote from home. When not on assignment at a property, computer/projects are to be completed at the main office.
Duties/Responsibilities:
1. Onsite Office Coverage:
- Cover onsite office tasks when onsite manager is scheduled off for more than two days or as needed (unexpected absences, cover scheduled appointments, etc.).
- Meet with onsite manager prior to scheduled coverage to get logins, codes, keys, appointment schedules, etc.
- Conduct a post-office coverage meeting with the onsite manager to review what occurred during the coverage period.
- Cover onsite tasks during manager changes/training.
2. Onsite Assistance:
- Assist with Training and development of the onsite teams
- Assist with all administrative responsibilities
- Assist with inspections
- Assist with postings
- Clean grounds
- Deep clean laundry rooms
- Collect coins
- Complete/input turnover maintenance walks
- Walk unit after maintenance and vendors are finished to ensure quality of work
- Complete final prep (manager move-in checklist) before new move in
- Input occupied maintenance requests into Rent Manager
- Complete patio/deck violation walks and follow-ups
- Create and post resident communications as needed
3. Department Head Support:
- Capital Improvements
- Annual Maintenance Inspections
- Main Office Projects
- Other Projects As Directed
Required Proficiency In:
· Multi-tasking and switching tasks quickly
· Quickly prioritizing new tasks and evaluating for emergencies
· Speaking, understanding, and writing English fluently
· De-escalation and conflict management skills
· Fair Housing laws
· Oregon Landlord/Tenant Laws
· Rent Manager, Tenant Tech, Bemrose Consulting, Online banking, Minol (where applicable)

Physical Requirements:
· Prolonged periods of sitting at a desk and working on a computer
· Must be able to lift up to 25 pounds at times
· Must be able to perform maintenance tasks such as lock changes
· Must be able to climb multiple flights of stairs, carrying 10-25 pounds at times
· Must be able to walk for 2+ hours at a time
Salary/Benefits:
· Up to $38.00/hour, DOE
