DEPARTMENT: Programs and Operations

REPORTS TO: Club Director

CLASSIFICATION: Hourly Non-Exempt, Full-time

PRIMARY FUNCTIONS (Job Summary): While under the direct supervision & working alongside the Clubhouse Directors, the Assistant Club Director (ACD) is the secondary leader at the Clubhouses and is expected to provide leadership and sound decision-making on a day-to-day basis.

This Assistant Club Director will be responsible for supporting Club operations at two separate sites - Fruit Valley Elementary Club & Washington Elementary Club. Please see the tentative work schedule below for additional information.

KEY ROLES (ESSENTIAL JOB RESPONSIBILITIES):

LEADERSHIP

  • Support Club Directors across two sites in building a strong team, capable of providing outstanding services to young people every day.
  • Support the planning of team meetings and facilitate sections of the agenda.
  • Develop daily program schedules that tie to program plans, program requirements and ultimately to Boys & Girls Clubs of Southwest Washington’s mission and vision.
  • Review existing programs and make the necessary recommendations for their continuance, change, or elimination.
  • Active involvement at the Clubhouses, especially during peak program times, ensuring program execution, youth engagement in programs and adherence to Clubhouse standards.
  • Maintain productive lobby environments for the Membership Specialists and monitor the front of the building, especially during peak pick-up times to ensure the safety of all youth and visitors and good relations with neighbors.
  • Support Membership Specialists in collecting membership fees.
  • Act as the lead Prevention specialist which includes data collection, management, and reporting as well as supervision of the prevention mentors across two sites
  • Host new Parent/Member Orientations
  • Support Club Directors with planning and implementing family events.
  • Assume all other responsibilities as deemed necessary or assigned.

OPERATIONS & SAFETY

  • Conduct daily walk-throughs and maintenance assessments of the facilities to assure the Club’s maintenance, safety, and cleanliness standards are met.
  • Ensure Clubs are adhering to organizational expectations for operating procedures, safe ratios, etc.
  • Partner with the Club Directors to make sure the Clubs have a current emergency plan and are facilitating emergency drills on a consistent basis. Help facilitate debrief with the team on each drill.
  • Support Club Directors in the development and implementation of facility use agreements and MOUs (memorandum of understanding) for Clubs, including rentals, partnerships with shared space, etc.
  • Act as the primary staff contact and liaison for the USDA Food Program including tracking snack counts, inventory, and orders.
  • Oversee Clubs’ member management system to ensure quality data is entered and reported and that financial procedures are followed consistently.
  • Open/close buildings as needed.

RELATIONSHIP MANAGEMENT

  • Establish and maintain effective working relationships, both internally and externally, with Clubhouse staff, senior leadership, parents, youth, community groups, and other related agencies.
  • Support the Club Directors to manage vendor relationships as assigned.
  • Support effective volunteer engagement, management and stewardship.
  • Greet visitors, answer phones and run the front desk area during the day until the Membership Specialist arrives.

SKILLS/ KNOWLEDGE PREFERRED:

  • Experience in a leadership capacity at a youth serving non-profit, with proven success in staff management, operations and community relations - strongly prefer experience in a Boys & Girls Club or other community-based organization working with youth living in neighborhoods impacted by poverty.
  • Demonstrated ability to organize, direct, plan and coordinate operations.
  • Leadership skills, including an understanding of group dynamics, problem solving, decision making, delegation.
  • Effective oral and written communication skills.
  • First Aid/CPR certification (required within three months of hire date).
  • Licensed and insured driver, with clean driving record and willingness to drive a 12-passenger van.
  • Reliable Transportation - Required

TENTATIVE WORK SCHEDULE

  • 40 hours (generally from 10:00am-6:30pm with a 30 minute lunch break and can occasionally include earlier mornings, later evenings, and weekends for periodic special events)
    • Monday, Wednesday, Fridays at Washington Elementary Club
    • Tuesdays and Thursdays at Fruit Valley Elementary Club

COMPENSATION & BENEFITS:

  • $20.00-$23.00/hour depending on experience
