Job description

The Highlights: Reporting to the Director of Alumni Relations, the Alumni Relations Coordinator is responsible for providing exceptional customer service to alumni, donors, and other members of the DePaul University community. Managing the day-to-day support operations of the Office of Alumni Relations, the Coordinator serves as the main point of contact for the alumni and friends community, answering incoming phone calls and emails, handling all alumni and donor event registrations, processing event revenue, and inquiries regarding alumni benefits and services. The Coordinator manages student worker(s) to assist with administrative support to Alumni Relations, Annual Giving, and Advancement Events staff. Those duties are augmented by project-based work including clerical tasks and event preparation. 


What You'll Do:

  • Customer service and support: Serve as Alumni Relations' receptionist, responding to phone calls and emails in a timely and accurate manner; Know and clearly communicate details of all alumni services, benefits, and Alumni Relations/Advancement events; Work cooperatively with various departments at DePaul to troubleshoot problems and resolve alumni requests and inquiries.
  • Event support: Process event registrations and associated revenue; Prepare weekly event RSVP reports for active events for division review; Ensure accurate and timely transfer of event attendance into Advance database; Create and prepare items for events; Call and email alumni and donors regarding upcoming Alumni Relations/Advancement events.
  • Alumni Center Management: Instill the policies and procedures for alumni, making appropriate adjustments and communication as needed; Maintain reception area and conference room booking schedules for meetings and events; Submit help desk tickets for technology and facility work orders for upkeep and event set up; Manage daily staffing schedule to ensure proper coverage of the Alumni office.
  • Supervise student worker(s): Supervise student staff to help with administrative tasks, including but not limited to, managing the front desk as a first point of contact for alumni inquiries; Create daily task lists for students to help with event preparation and post-event wrap-up.

What You'll Need:

  • B.A. preferred
  • 2-4 years administrative support experience 
  • 2-4 years customer service experience 
  • 2-4 years experience with Microsoft Office programs, including Outlook, Word, Excel, Access, Power Point
  • Experience in higher education or non-profit environment a plus
  • Excellent oral and written communication skills
  • Ability to effectively manage multiple projects, set priorities, meet deadlines and perform follow up 
  • Demonstrated planning, problem-solving and organizational skills
  • Strong customer service skills
  • Conscientious and dependable
  • Self-starter and team player
  • Professional telephone etiquette
  • Requires occasional evening and weekend hours to assist with alumni events and other staffing needs
