JOB OVERVIEW:
The Advisor, Project Management President's Office is a highly visible jane/jack of all trades that will support and lead complex, multi-disciplinary projects from start to finish - working with stakeholders to plan requirements, manage project schedules, identify risks, and communicate clearly with cross-functional partners across the company, especially our Executive Management (EM) Team. As an integral part of the President's Office team, reporting to the Chief of Staff to the President and CEO, the incumbent will actively collaborate to drive value creation, process efficiency, operational excellence, and successful project execution. It is the incumbent's job to coordinate with players and keep them up-to-date on progress and deadlines. This role will help drive key projects and programs including scope, goals, budget, deliverables, tasks, resources, solutions, delivery, and outcomes. In addition, this role will require communication of project updates to leadership, cross-functional collaboration, and effective coordination with stakeholders to ensure project compatibility and efficient resource utilization.
The ideal candidate will offer critical value-added research, analyses, and professional insights that will drive strategic and operational decisions. She/he should propose solutions to enhance office management and overall executive support. The individual will work closely with the Chief of Staff to the President and CEO, the Executive Administrative Assistant to the President and CEO, an Executive Support colleague, the President and CEO as well as other VP and GM executives of the organization on a daily and weekly basis. This connection will be critical as we all work together to implement the transformation roadmap of our North Star strategy.
The ideal candidate will provide ongoing support to weekly and monthly EM meetings, support strategic work packages, department budget needs, employee and dealer communication, employee engagement activities and other executive support initiatives and tasks. The person in this role should proactively monitor overall President's Office effectiveness and efficiency, and make key recommendations to adjust accordingly. Similarly, this person should identify areas of deficiency and assist in making recommendations to management regarding solutions to existing problems and areas where efficiencies could be increased. Help address any EM issues and answer EM questions timely, efficiently and accurately. She/he should expect to make adjustments as required and dictated by executive needs, wants and/or trends.
The ideal candidate should expect to attend EM Meetings, draft and issue agendas, take minutes, and content collection, and follow-up on action items. General office and meeting support in setting up calls/conferences/presentations in partnership with IT, Facilities, HR, Communications, and other key departments. Develop, maintain, communicate, review, and manage departmental governance needs in accordance with policy.
PRIMARY RESPONSIBILITIES:
Responsible for all aspects of managing and supporting executive-level projects.
Draft, issue, maintain, and follow up on EM Meeting agendas, minutes and action items Maintain, enhance, operate, and communicate departmental budgets.
Review all departmental processes and policies, and make adjustments when necessary (Ask the President, Share Drives, Social Intranet Department site, etc.).
Support overall planning, coordination, and execution of all employee-facing activities (e.g., Town halls, Senior Manager/Director meetings, offsites, VIP visits, pulse surveys, company events sponsored by the President's Office, etc.).
Support in preparing presentations and recommendations to Senior and Executive Management concerning optimizing initiatives often in a quick, reactionary environment.
Assist the Chief of Staff and team in developing new digital scorecards for management to determine goals and effectiveness of key tactics toward the achievement of North Star Strategy.
Assist the Chief of Staff and team with reporting needs.
Review documentation/reporting for accuracy and consistency. Facilitate correction and enhancement of documentation/reports via the appropriate channels.

REQUIRED QUALIFICATIONS:
Must have a total of 5 - 7 years of professional work experience
Bachelor's Degree (Master's degree preferred) with emphasis in Economics, Engineering, Business Administration, Computer/Information Systems, or Statistics/Data Science/AI/Machine Learning
Proven ability to handle multiple projects within a given timeframe.
Demonstrated ability to provide accurate data and reports under tight time constraints required.
Proven ability to innovate and transform complex constructs to simple analyses for interpretation Strong oral and written communication skills.
Strong problem formulation and problem-solving skills. Attention to detail is a must.
Must have excellent organizational and time-management skills and be able to multi-task and prioritize in a fast-paced Advanced Microsoft Outlook, PowerPoint, Excel, and Word skills are required for the role.
Working knowledge of Adobe Acrobat family of application software and web services.
